Overview

Our client, in the financial services industry, is looking for an Executive Assistant to provide efficient and responsive administrative, organizational, and logistical support to the Chief Executive Officer. This role will help the CEO manage and prioritize his time effectively.

The ideal candidate will have exceptional attention to detail, outstanding time management skills, and the ability to work independently.

The Executive Assistant must also be able to work under pressure, handling a wide variety of activities and confidential matters with discretion.

Key Responsibilities
  • Manage and maintain the CEOs diary, setup and arrange meetings, liaise with internal and external parties requiring ad hoc audience with CEO.
  • Filter emails, highlight urgent correspondence and print attachments.
  • Ensure busy diary commitments, papers, and travel arrangements are managed effectively.
  • Manage a daily folder with diary, necessary papers, reports and memoranda for immediate attention.
  • Conduct weekly diary meetings with the CEO to discuss upcoming engagements, invitations and other requests.
  • Schedule on behalf of the CEO meetings between him and his direct reports and the committees and groups to which he is a member.
  • Coordinate travel and accommodation requirements in connection with others and ensure.
  • Filter general information, queries, phone calls and invitations to the CEO by redirecting.
  • Keep and maintain an accurate record of papers, notes and electronic correspondence.
  • Prepare business correspondence on behalf of the CEO, including the drafting of general replies and the taking of dictation.
  • Minute general meetings as required and research matters on behalf of the CEO.
  • Ensure guests meeting with the CEO are assisted and their needs addressed.
  • Provide a service that is in line with the CEOs work habits and preferences.
  • Ensure that the calendar for the year ahead is comprehensively planned with the CEO covering daily / weekly / monthly and quarterly meetings.
  • It is important to ensure that there is strict adherence to deadlines, and accountability to ensure that all standing information is required by the CEO on deadline.
Experience and Qualifications
  • Bachelor's degree.
  • 12+ years of experience in a related field.
  • Demonstrable experience in an administration / executive assistant / PA role in a highly pressurised environment requiring tact, judgment and discretion in handling internal and external contacts (essential).
  • Experience of diary management / researching and booking of travel and accommodation (essential).
  • Experience of successfully working with senior management (essential).
