Job Overview:

We are seeking a dynamic and detail-oriented Executive Assistant with a strong project management background to serve as a strategic partner to our senior leadership. This dual-accountability role involves providing high-level administrative support while coordinating strategic initiatives and projects across departments. The ideal candidate will leverage their organizational and project management skills to ensure seamless alignment between operational delivery and strategic intent, allowing executives to focus on core business growth.

Key Responsibilities:
  • Project Coordination & Tracking (c. 50% of role):
    • Coordinate and track the status, resources, and timelines for strategic projects across various departments.
    • Facilitate project meetings, prepare reports and dashboards, and monitor milestones to ensure deadlines are met.
    • Support governance processes, including documentation, action tracking, and stakeholder engagement.
    • Assist in preparing executive-level presentations and data reports, ensuring project outcomes align with business objectives.
    • Utilize project management methodologies and tools (e.g., Asana, Trello, Microsoft Project) to manage tasks, track progress, and coordinate resources.
  • Executive Support (c. 50% of role):
    • Provide comprehensive administrative support to the CEO and CIPO, including complex calendar management and communication handling.
    • Serve as the primary liaison between the executive office and internal/external stakeholders, managing communications with professionalism and discretion.
    • Coordinate extensive travel arrangements (flights, accommodation, itineraries, visas) and manage related expense reporting.
    • Handle confidential documentation and information with integrity and sound judgment.
Required Qualifications & Skills:
  • Experience:
    • Minimum of 5-7 years of experience in an Executive Assistant or senior administrative role supporting C-suite executives in a medium to large sized organisation.
    • Proven experience in a role with project coordination responsibilities, demonstrating an understanding of project lifecycles.
  • Technical Skills:
    • High proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint).
    • Experience using project management software/tools is required.
  • Certifications & Education:
    • A bachelor’s degree in business administration or a related field is preferred.
    • Project management certification (e.g., CAPM, PMP, or similar formal training) is highly advantageous and desired.
  • Soft Skills:
    • Exceptional organizational and time-management skills with the ability to prioritize multiple projects simultaneously and meet tight deadlines.
    • Strong written and verbal communication skills, with keen attention to detail.
    • Proactive problem-solver who can anticipate needs and work independently.
    • High emotional intelligence, adaptability, and the ability to maintain composure in a fast-paced environment.
