Overview

Executive Assistant (Maternity Cover) – Johannesburg, South Africa – Full time – Hybrid. Reporting to General Manager. The mission is to provide executive assistance to the General Manager.

Key Responsibilities
  • Administrative support: manage complex calendars, schedule meetings, appointments, travel arrangements, and provide comprehensive support.
  • Prepare and edit documents, letters and reports with high accuracy.
  • Capture, file and retrieve corporate records, documents and minutes of South African Leadership Team (SALT) meetings. Knowledge and experience in writing minutes for statutory board meetings required.
  • Capture and process data using word processing, spreadsheets and PowerPoint.
  • Project management: assist in planning and executing special projects and initiatives; monitor project timelines and deliverables; coordinate with various departments; conduct research; assign work to appropriate staff including SALT.
  • Office services: evaluate and assist in developing office policies and procedures; manage vendors and purchase equipment, services and supplies; other duties as assigned.
  • Communication: primary point of contact between GM and stakeholders; draft, review and distribute communications; facilitate internal communication; coordinate all SALT team meetings and retreats; support SALT team with communication and culture messages.
  • Event coordination: plan and organize executive events, meetings and conferences; oversee travel logistics; manage venue selection, catering and attendee arrangements; provide hospitality; work with event planning team.
  • Confidentiality: handle sensitive information with discretion and integrity; comply with company confidentiality policies.
  • Office management: oversee day‑to‑day operations of the executive office; anticipate GM needs; manage office supplies, equipment and facilities.
