Job Description
Our client is looking for an Executive Assistant to join their growing team. This role requires an expert in high-level administrative support, cross-department coordination, and proactive organisational management. The ideal candidate will support four senior leaders while ensuring that processes, reporting, and communications run smoothly across the business.
Key Responsibilities
- Provide full administrative support to members of the senior leadership team, including diary management, preparing meeting materials, and handling communications.
- Support Sales and Marketing by maintaining calendars, updating reports and metrics, preparing slides, and ensuring team readiness for weekly and monthly meetings.
- Assist Commercial and Operations with inbox management, ISO compliance documentation, EPR data collection and reporting, HR administration, and leadership meeting action tracking.
- Manage company-wide organisation including SharePoint/Teams folder structuring, maintaining SOPs, employee engagement survey setup, and supporting the employee lifecycle.
- Deliver Finance and IT support including NAV system housekeeping, procurement of equipment, laptop setup, and petty cash oversight.
- Ensure Quality, Environmental, Health & Safety (QEHS) standards are followed, reporting any issues and maintaining compliance.
Requirements
- Proven experience as an Executive Assistant supporting multiple stakeholders in a larger business environment.
- Strong organisational and time-management skills with the ability to prioritise and manage several streams of work.
- Experience with HR administration, reporting, and maintaining accurate documentation.
- Proficiency with Microsoft Office, SharePoint/Teams, and general IT administration.
- Ability to prepare reports, presentations, and meeting documentation to a high standard.
- Excellent communication skills and the ability to handle confidential information discreetly.
- Strong initiative, attention to detail, and a proactive approach to problem-solving.
