Are you an organised professional with a knack for managing schedules and streamlining operations?

We are looking for an Executive Assistant, or as we like to call it, a "Diary Ninja," to provide high-level support to our UK-based executive team.

This remote role is pivotal in ensuring their time is optimally managed, and the day-to-day operations run smoothly.

Key Responsibilities
Executive Assistance
  • Manage and maintain executive schedules, juggling multiple calendars with precision.
  • Coordinate and organise meetings, appointments, and travel arrangements.
  • Prepare and edit correspondence, presentations, and reports on behalf of the executives.
  • Act as a liaison between executives and internal/external stakeholders, ensuring effective communication.
Diary Management
  • Develop a deep understanding of executive preferences to anticipate scheduling needs.
  • Resolve scheduling conflicts and ensure executives are fully briefed ahead of meetings.
  • Utilise calendar tools and software to optimise diary management.
Administrative Support
  • Handle confidential information with discretion and integrity.
  • Assist with the preparation and follow-up of executive meetings, ensuring action items are tracked and executed.
  • Provide additional support to other departments and team members as required.
Qualifications and Skills
Required Experience
  • Proven experience as an Executive Assistant, Personal Assistant, or in a similar role.
  • Experience with diary management and scheduling for senior executives.
Key Skills
  • Exceptional organisational skills and attention to detail.
  • Ability to manage multiple tasks efficiently in a fast-paced environment.
  • Strong communication skills, both written and verbal.
  • Proficiency with office software, including calendars, email, and Microsoft Office Suite.
