Executive Assistant (Sales Focus)
We're looking for an Executive Assistant (Sales Focus) who's proactive, organized, and ready to take ownership of sales-related operations.
You’ll be the person who keeps our deals moving, ensures our CRM runs smoothly, and gives leadership the time and space to focus on strategy.
Responsibilities
- Maintain and manage the deal pipeline in HubSpot
- Research and gather company information for prospecting
- Assist with initial responses to outbound email campaigns
- Help organize, maintain, and optimize HubSpot CRM
- Review and organize the CEO's emails and draft responses when appropriate
- Add custom information to client proposals in PandaDoc
- Full‑time role, with working hours between 6 am and 2 pm EST
About You
- 3+ years as an executive assistant, sales administrator, or similar
- Strong knowledge of HubSpot CRM, including pipeline management and optimization
- Excellent written communication skills, especially persuading sales writing
- Proactive, self‑directed, and able to move tasks forward independently
- Tech‑savvy and comfortable with HubSpot, PandaDoc, and email platforms
- Highly organized with strong attention to detail
- Prior experience in B2B SaaS or tech‑focused sales environments
- Familiarity with outbound email automation tools
- Experience supporting executives in a fast‑growing company
- Ability to identify process improvements and suggest better workflows
