Job summary

A global development organization is seeking an Events and Logistics Specialist to manage travel and logistics for their Pretoria office. Shape the delivery of high quality events travel and logistics as the Events and Logistics Specialist reporting to the Head of Unit Procurement and Contracting based at the Country Office in Hatfield Pretoria with the role secured on a fixed term contract for 24 months.

Requirements and Qualifications

Qualifications

  • Bachelor of Commerce in Purchasing, Supply, Logistics, Supply Chain Management or Business Administration
  • Honours or Master of Business Administration
  • MCIPS or CIPS Accreditation

Professional Experience:

  • Minimum of 5 to 8 years experience in a comparable position
  • Solid understanding of Procurement principles and fundamentals
  • Experience with an international donor agency

  • Knowledge of National or EU Procurement laws
  • Excellent written and verbal communication skills

Key Responsibilities:
Events Management
  • Organising all elements of events as defined by GIZ including procurement and contracting support
  • Developing multi‑year Framework Agreements where relevant
  • Designing, communicating and maintaining Standard Operating Procedures
  • Ensuring audit‑proof use of systems, records and functional mailboxes
  • Upholding value for money through market, cost reviews and strong negotiation
  • Submitting documentation for accurate financial processing
  • Clearing receivables timeously
  • Coordinating delivery and return of workshop materials
  • Collecting, analysing and implementing service feedback
Travel Management
  • Procuring outbound flights for staff, partners and visitors
  • Advising and booking safe travel in line with GIZ Security protocols
  • Managing end‑to‑end business travel visas
  • Advising teams across the Country Office and Clusters on travel regulations
  • Updating the Travel Policy for South Africa, Lesotho and eSwatini
  • Ensuring competitive pricing aligned with PuR
  • Maintaining accurate travel data
  • Ensuring compliance with VVT and Data Privacy requirements
  • Supporting SAP Concur
  • Preparing tender documentation
  • Coordinating implementation of the global travel system
Logistics Management
  • Managing transfers and transhipments including goods information and financial flows
  • Leading importation processes using correct Incoterms, clearance and collection
  • Advising seconded experts with household goods during arrival and departure
  • Updating tracking and tracing of shipments
  • Leading Records Management, Archiving and Filing within Procurement and Contracting
  • Coordinating preparation, approval and shipment of files to Head Office
  • Ensuring adherence to Filing Management and Key Policies
  • Submitting and coordinating insurance requests and claims
  • Managing vehicle registration and deregistration through the German Embassy DIRCO and NDoT
  • Ensuring valid insurance for all GIZ vehicles until deregistration
  • Managing ownership transfers and diplomatic plate processes
  • Supporting Finance with SARS and VAT claims for diplomatic staff

  • Managing tender processes aligned with GIZ rules and Sustainable Procurement

  • Ensuring efficient receipt inspection and defect reporting

  • Managing RFx processes
  • Establishing Service Works and Construction contracts including iDPPs

  • Establishing Framework Agreements aligned with PuR
  • Executing tender procedures
  • Ensuring adherence to Signatory Protocols
  • Monitoring contract performance and supplier relations
  • Maintaining SAP supplier data
  • Ensuring clearance of receivables and contract closure

  • Improving processes, templates and checklists aligned with PuR
  • Supporting digital transformation of systems and tools
  • Communicating professionally with stakeholders
  • Coordinating and delivering training sessions
  • Contributing to quarterly KPI reporting
  • Applying risk management to ensure business continuity

  • Deputising senior specialists when required
