Job summary

A leading company in KwaZulu-Natal is seeking a skilled Legal Secretary to manage diaries, assist with legal documentation, and ensure compliance with FICA. The ideal candidate will have extensive experience in a law firm and proficiency in CMS/Adarant and Microsoft Office Suite. This role requires strong organizational skills and the ability to handle multiple tasks efficiently.

Qualifications

  • Minimum of 3-5 years' experience as a legal secretary within a law firm.
  • Knowledge of administrative and clerical procedures and systems.

  • Maintain Partner(s) and/or Professionals' diary and prepare documentation.
  • Assist in handling legal administration requirements and preparing legal documents.
  • Manage monthly invoicing in accordance with the firm's policies.

Job description

Main Job Functions
  1. Maintain Partner(s) and/or Professionals' diary, including coordinating and liaising with relevant parties regarding meetings, and preparing all documentation for appointments and travel.
  2. File, organize, and maintain documents, case files, and law libraries.
  3. Open and close legal files in accordance with the firm's policies and procedures.
  4. Assist in handling legal administration requirements.
  5. Assist in the preparation and processing of legal documents.
  6. Print all correspondence, pleadings, and documents, and file in physical/hard copy files.
  7. Ensure dispatched documents are accurate.
  8. Liaise with messengers/drivers.
  9. Perform general office administration and management.
  10. Dictation typing.
  11. Possess thorough knowledge, understanding, and experience in employment law.
  12. Follow up with clients regarding payments and keep a log of all client contacts.
  13. Compile and submit weekly outstanding reports (payments from clients) to the accounts department.
  14. Ensure compliance with FICA.
  15. Complete timesheets and capture time on CMS/Adarant.
  16. Keep track of attorney time records and billing.
  17. Manage monthly invoicing in accordance with the firm's policies and procedures.
Qualifications and Criteria
  • Grade 12.
  • Minimum of 3-5 years' experience as a legal secretary within a law firm.
  • Knowledge of CMS/Adarant.
  • Knowledge of Microsoft Office Suite.
  • Knowledge of Billback.
  • Basic numeracy and literacy skills.
  • Knowledge of administrative and clerical procedures and systems.
  • Knowledge of FICA.
