Main Job Functions
- Maintain Partner(s) and/or Professionals' diary, including coordinating and liaising with relevant parties regarding meetings, and preparing all documentation for appointments and travel.
- File, organize, and maintain documents, case files, and law libraries.
- Open and close legal files in accordance with the firm's policies and procedures.
- Assist in handling legal administration requirements.
- Assist in the preparation and processing of legal documents.
- Print all correspondence, pleadings, and documents, and file in physical/hard copy files.
- Ensure dispatched documents are accurate.
- Liaise with messengers/drivers.
- Perform general office administration and management.
- Dictation typing.
- Possess thorough knowledge, understanding, and experience in employment law.
- Follow up with clients regarding payments and keep a log of all client contacts.
- Compile and submit weekly outstanding reports (payments from clients) to the accounts department.
- Ensure compliance with FICA.
- Complete timesheets and capture time on CMS/Adarant.
- Keep track of attorney time records and billing.
- Manage monthly invoicing in accordance with the firm's policies and procedures.
Qualifications and Criteria
- Grade 12.
- Minimum of 3-5 years' experience as a legal secretary within a law firm.
- Knowledge of CMS/Adarant.
- Knowledge of Microsoft Office Suite.
- Knowledge of Billback.
- Basic numeracy and literacy skills.
- Knowledge of administrative and clerical procedures and systems.
- Knowledge of FICA.
