Role Overview

Westfalia Marketing in Tzaneen, Limpopo has a vacancy for a suitably qualified and experienced Documentation Coordinator.

Purpose of the role

Reporting to Export Sales Manager, the incumbent will contribute to making Westfalia Marketing successful in a high‑performance and driven environment through successfully executing the business strategy to channel fruit into the export market, following the best practices of our Export Logistics cold chain. This position will be dedicated to overseeing and managing all documentation processes across the African regions. The role will also establish a centralized documentation structure that ensures alignment, compliance, and accuracy across all markets while adhering to the same standards and procedures currently implemented in South Africa.

Key Responsibilities
  • Manage, process and communicate all Documentation required for customs, F&C and customer releases at destinations
  • Oversee all Documentation and assist customers with document‑related queries or any changes in shipments
  • Manage and keep good relationships and information flow between F&C, Cold stores and Cargo produce
  • Account Management (Export Sales Manager and Customer perspective)
  • Assist with Documentation Administration
  • Importing and linking containers on Palbroker and ensure accuracy of data
  • Reconcile mates' files and seal summaries between Packhouse, Coldstore
  • Providing support to internal and external departments to streamline operations and minimise charges
  • Assist with Managing digital projects such as Cargo Production
Education
  • Matric
  • Degree or National Diploma in International Trade or Supply Chain Management
  • Valid driver's licence
Experience
  • 2–3 years experience in the fruit industry, with insight into export documentation
  • Experience of Account Management
  • Knowledge of Palbroker / Paltrack
  • Experience with Export Documentation Processes
  • Understanding Freight Forwarding and Customs Clearance Processes
  • Cross Border Documentation process
  • Computer literate with strong working knowledge of Excel (Pivot tables, V‑lookups, etc.)
