Overview
A well-established national company based in Somerset West is currently recruiting for a Dispatch Clerk with at least 2 – 3 years working experience in logistics, customer service, or dispatch-related role to join their team.
The successful candidate will be responsible for managing the distribution of goods within the warehouse, ensuring accurate and timely delivery to various departments or customers.

Responsibilities
- Receiving/Shipments
- Receive and inspect incoming deliveries from suppliers or couriers.
- Verify the quantity and condition of goods against purchase orders and delivery notes.
- Documentation and Record Keeping
- Accurately complete receiving paperwork and system entries.
- Report and document any discrepancies (e.g., shortages, overages, damaged goods).
- Quality Control
- Inspect items for damage, defects or items not up to specification.
- Ensure that products meet quality and safety standards.
- Inventory Management Support
- Tag and label incoming goods for identification and tracking.
- Assist with stock counting activities.
- Move received goods to appropriate storage areas.
- Maintain a clean, organized, and safe dispatch and receiving area.
- Check stock availability before dispatch.
- Work with the warehouse team to ensure items are ready for loading.
- Coordination and Communication
- Communicate with suppliers, couriers, and internal departments regarding received goods.
- Notify procurement and stock controller of any issues.
- Answer queries from customers regarding deliveries.
- Provide couriers with correct instructions and waybills.
- Compliance and Safety
- Follow company procedures for handling fragile stock.
- Adhere to health and safety regulations and use equipment safely.
- Ensure that goods are packed and loaded safely and according to regulations.
- Comply with company procedures and legal requirements related to transportation and dispatch.
- Returns Handling
- Coordinate the return of incorrect or damaged goods to suppliers (GRN).
- Complete return documentation accurately.
- Notify internal departments on status.
- Order Processing
- Review and verify shipping documents (invoices, delivery notes, packing lists).
- Prepare dispatch documentation accurately and on time.
- Provide email communication feedback to storeman/stock controller and procurement.
- Scheduling
- Schedule and coordinate deliveries and collections with couriers.
- Communicate with drivers, warehouse staff, and customers to ensure timely dispatch and delivery.
- Tracking and Monitoring
- Track the movement of shipments and ensure on-time delivery.
- Update internal systems with delivery and dispatch status.
- Record Keeping
- Maintain accurate dispatch logs and records for audit and tracking purposes.
- File and archive delivery documentation.
- Ad Hoc Duties
- Assist with general warehouse tasks when required.
- Participate in stock take and audits.
- Help with packaging, labeling, or reworking of goods.
- Perform basic maintenance or cleaning tasks in the warehouse.
- Attend training sessions or meetings as needed
