As we continue to grow, we are seeking a talented and motivated individual to join our team as a Despatch Clerk with our RCL FOODS Speciality Centurion operating unit.

Duties & Responsibilities
  • Check paperwork against GRN and POD and ensure all paperwork sent to RCL Foods customers is receipted and returned to dispatch as proof of delivery.
  • Sort documents according to shipment and hand them over to finance for daily reconciliation.
  • Sort and fill all dispatch documents by category and systematically file records such as Seal register, Equipment Control Sheet, and equipment reconciliation daily.
  • Check and despatch stock before loading vehicles: adhere to the vehicle checklist (cleanliness, pre‑cooling, temperature specification, required space for load bars, correct height for off‑loading), verify that the picked stock matches the customer’s order, correct any loaded variances, and ensure efficient, compliant, and timely despatch.
  • Confirm the truck is accurately loaded, close the doors and seal the truck with a numbered seal, and record the seal number against the fleet number in the seal register.
  • Collate completed loading documents for capture into the system (e.g., SAP) and record loading start and finish times to monitor loading duration. Report any delays that may affect despatch to the Despatch Supervisor.
  • Record pallets and all other returnable packaging dispatched onto the truck.
  • Assist the Trip Recon process by ensuring all required documents are provided daily to the Despatch Supervisor (Trip Sheet, Signed Delivery Notes, Consignment Note, Acceptance of stock printout from Woolworths). The Despatch Supervisor will then forward them to the site financial team for Trip Recon.
  • Accept stock from production by checking lugs packed correctly, stacking lugs onto dollies, packing dollies fully where possible, ensuring that different stock for different customers/regions is not mixed, and confirming QC checks. Isolate stock needing return to production for quality check before sending back.
  • Accept stock from outside storage facilities, record it on paperwork, perform visual checks for damages, and advise the Planning and MRP Coordinator that stock has been received and provide copies of documentation to enable planning of orders.
  • Manage stock take and housekeeping: check that stock is placed in the correct locations to facilitate easy stock count, maintain high housekeeping standards, and report any issues to the Despatch Supervisor.
  • Assist in stock count processes as required monthly or weekly cycle counting and ensure all housekeeping and paperwork are correctly filed and stored.
  • When customers send equipment (lugs, dollies) or returnable packaging with the vehicle, verify that physical items match customer paperwork, capture in the system and complete relevant reconciliations. Escalate unresolved discrepancies to the Despatch Supervisor.
  • Assist in any activities or tasks requested by the Despatch Supervisor and be available to work overtime and/or on weekends to support deliveries or onsite tasks.
  • Comply with company policies on health, safety, environment, risk, and quality (including HACCP/ISO). Conduct housekeeping according to standard operating procedures.
  • Take ownership and accountability for tasks, demonstrate effective self‑management in planning and prioritising, and maintain quality and productivity standards. Inform relevant parties of unmet tasks or deadlines, potential risks, and provide appropriate resolution.
  • Demonstrate willingness to help others and go the extra mile to meet team targets and objectives.

Minimum Requirements
Education & Qualifications
  • Matric certificate.
  • Logistics/Warehousing certification advantage.
  • Graduate or in final year of study.
  • Knowledge of receiving and despatch principles and procedures.
  • Knowledge of warehouse‑based business processes and practices.
  • SAP knowledge important to the role, particularly when standing in for the Despatch Supervisor.
