Purpose of the Role
The Debtors Clerk (CIC Receivables Clerk) is responsible for ensuring that all customer accounts are accurately maintained, payments are collected on time, and disputes are resolved efficiently.
This role focuses on collections, cash allocations, reconciliations, and claims management, supporting the organisation’s overall cash flow and working capital objectives.
(Please note this is not a Collections Agent role)
Key Responsibilities
Accounts Receivable & Collections
- Contact customers to collect outstanding payments and resolve overdue accounts.
 
- Send reminder letters, emails, and final demands in approved formats.
 
- Manage accounts through the full collections process — from initial contact to legal escalation (over 60 days).
 
- Maintain and monitor the transactional worklist and ensure proper account reconciliations.
 
- Manage staff, inter-company, and non-trading debtor accounts.
 
- Oversee point-of-sale collections and ensure compliance with internal procedures.
 
Cash Application
- Accurately allocate all customer payments against open invoices.
 
- Apply discounts as per agreed payment terms.
 
- Reconcile customer accounts and ensure up-to-date records.
 
Claims & Disputes Management
- Investigate and resolve customer claims related to discounts, pricing, returns, or quality issues.
 
- Ensure correct processes are followed for credit notes, returns, and offsets.
 
- Maintain accurate collections and customer master data.
 
- Report on outstanding claims and dispute trends.
 
Payment Arrangements & Legal Escalations
- Identify repayment opportunities for default accounts.
 
- Manage short-term payment arrangements (within a 4-week period).
 
- Escalate longer or defaulted arrangements to the Legal Controller.
 
Stakeholder Management & Reporting
- Build and maintain strong relationships with internal teams and external customers.
 
- Participate in stakeholder meetings and provide feedback on key accounts.
 
- Prepare and present reports on collections performance, claims, and reconciliations.
 
Governance, Risk & Compliance
- Ensure full compliance with company credit policies, procedures, and relevant legislation (e.g. National Credit Act, VAT Act, Companies Act).
 
- Identify potential risks and take proactive steps to mitigate them.
 
Minimum Requirements
- Matric certificate (essential)
 
- Credit Management 1 & 2 (preferred)
 
- 3–5 years’ experience in Accounts Receivable, Collections, or Credit Control (not as a collections agent)
 
- Strong understanding of debit/credit entries and account reconciliations
 
- Computer literacy in MS Office and financial systems
 
- Excellent communication, negotiation, and analytical skills
 
- Ability to multi-task, prioritise, and work under pressure
 
- Self-starter who can work independently and collaboratively
