DAY AUDITOR SUMMARY

The Day Auditor is responsible for ensuring the accuracy, completeness, and integrity of daily financial transactions across all business units, including accommodation, restaurants, and front office.

The role focuses on the independent reconciliation of receipts, settlements, and postings to minimize financial risks, detect irregularities, and provide assurance that controls are working effectively.

The Day Auditor will work closely with the Night Auditor, Finance team, and Operations to ensure seamless daily revenue and expense reconciliation, safeguarding company assets.

KEY DUTIES AND RESPONSIBILITIES
  • Revenue Control & Reconciliations: Independently reconcile theoretical receipts (from PMS, POS, and booking systems) to actual receipts collected (cash, cards, EFTs, Snapscan, Zapper, Dineplan, Shopify, etc.).
  • Verify that all daily transactions recorded by the Night Auditor are correctly posted and allocated.
  • Perform exception reporting to identify and investigate discrepancies between Tall Order, Lightspeed, PMS, POS, and ERP.
  • Ensure all settlements (rooms, FOH charges, guest profiles, internal house accounts) are properly allocated and authorized.
  • Confirm that voids, discounts, and complimentary transactions are properly documented, approved, and within policy.
  • Monitor unposted or misallocated charges and work with relevant departments to resolve them.
  • Risk Management & Controls: Ensure daily completeness, accuracy, and validity of revenue across all systems.
  • Review and reconcile bank deposit slips, merchant batch reports, and online payment confirmations against system postings.
  • Identify and elevate unusual transactions, patterns, or variances to Senior Accountant and Head of Finance.
  • Confirm compliance with internal control policies, including segregation of duties and approval hierarchies.
  • Provide assurance that all transactions meet existence, occurrence, accuracy, cutoff, and classification requirements.
  • Reporting & Communication: Prepare and circulate a daily reconciliation and variance report to Finance and Operations management.
  • Maintain accurate audit trails and supporting documentation for all reconciliations.
  • Communicate promptly with relevant teams (Front Office, Reservations, F&B, Finance) to resolve discrepancies.
  • Support the Senior Accountant in preparing monthly reconciliations between PMS, POS, and ERP.
  • Assist with periodic audits (internal and external) by ensuring reconciliations and supporting documentation are complete and up to date.
  • Suggest process improvements and control enhancements to reduce financial risks.
  • Ensure that issues identified during reconciliation are corrected in a timely manner to prevent carry-forward errors.
  • Perform ad hoc financial and operational checks as required by the Head of Finance or Senior Accountant.

Closing date : Wednesday, 15 October
