The Opportunity :

We are a growing mental health practice dedicated to providing compassionate and compliant care to our patients. We are seeking a sharp highly detailed and compliance-minded Data Entry Specialist ( Medical Records & Data Assistant) to join our team. This is a critical full-time remote position for a professional who will be responsible for ensuring the integrity and organization of our patient records.

In this role you will be the backbone of our administrative compliance tracking down and organizing patient notes from therapists to ensure all records are up to date. The ideal candidate is a proactive who thrives on meticulous work and understands the importance of confidentiality and accuracy in a healthcare setting.

Key Responsibilities :
  • Notes & Records Management : Track down and collect patient session notes from various platforms to ensure all records are up to date.
  • Data Entry & Organization : Meticulously enter and organize patient notes and medical records into our practice management software.
  • Compliance & Confidentiality : Ensure strict adherence toregulations and internal protocols for patient data privacy and confidentiality.
  • Quality Assurance : Conduct regular audits of patient files to ensure all session notes are complete accurate and organized.
  • Communication : Serve as a key liaison between our administrative team and therapists to follow up on outstanding documentation.
What You Bring :
  • Experience : Proven experience in any administrative or data managemen t role preferably in data entry. A background in the healthcare industry would be a plus but not a deal-breaker.
  • Attention to Detail : A sharp and meticulous mindset with a non-negotiable focus on accuracy and organization.
  • Compliance-Minded : A strong understanding of and commitment to healthcare compliance particularly HIPAA regulations. (A Plus only not a deal-breaker)
  • Independence : A self-starter who can work autonomously take ownership of tasks and proactively track down necessary information.
  • Technical Savvy : Comfortable with data entry and able to quickly learn and navigate our in-house practice software.
  • Communication Skills : Strong written and verbal communication skills for professional follow-up and collaboration.
