Job Purpose

The Credit Controller is responsible for managing debtor accounts, ensuring timely collections, reconciling customer accounts, and maintaining accurate financial records. The role plays a critical part in minimising bad debts and managing cash flow by ensuring that outstanding invoices are paid according to agreed terms. The Credit Controller also provides excellent customer service by resolving queries and maintaining good relationships with both internal and external stakeholders.

Key Outputs
Debt Collection and Account Management
  • Proactively manage customer accounts to ensure timely collection of outstanding debts.
  • Timeous release of orders on credit hold.
  • Preparation of payment packs to customers.
  • Follow up on overdue payments in line with company credit policies and elevate where necessary.
  • Achieve monthly and quarterly collection targets set by the Credit Control Supervisor.
  • Monitor and follow up on outstanding debtor accounts.
Reconciliation of Accounts
  • Accurately allocate payments to customer accounts and reconcile discrepancies timeously.
  • Resolve customer queries related to accounts, invoices, or payments, ensuring issues are addressed promptly.
  • Manage customer rebate and advertising claims within agreed deadlines.
  • Reconcile customer accounts and resolve payment discrepancies.
Reporting and Analysis
  • Prepare and submit accurate monthly reports on debtors, provisions, and aged accounts receivable within deadlines.
  • Monitor account performance and proactively identify and report potential bad debts.
  • Support in preparing management reports and provide insights on debtor performance trends.
  • Prepare regular reports on debtors’ aging and collection performance.
Risk Management and Compliance
  • Maintain robust controls and procedures to minimise the risk of bad debts.
  • Ensure compliance with company credit policies and relevant legal regulations.
  • Identify high-risk accounts and recommend appropriate actions, including credit holds or legal proceedings.
  • Maintain accurate records of all credit control activities.
Customer Service and Communication
  • Provide excellent service to both external customers and internal teams, always maintaining professional and positive communication.
  • Build and maintain strong relationships with customers to facilitate timely payments and resolve any issues efficiently.
  • Liaise with sales, customer service, and finance teams to resolve disputes.
