Overview
The Control Room Supervisor is responsible for overseeing and managing the performance of Fleet Monitoring Clerks across both day and night shifts. The role ensures that all trucks and drivers are monitored effectively, operational exceptions are addressed timeously, and all standard procedures are adhered to. The Supervisor functions as the key link between the control room, fleet operations management, and support departments ensuring seamless communication and high levels of operational control.
Responsibilities
- Supervise, lead, and support all Fleet Monitoring Clerks across shifts.
- Plan and manage shift schedules to ensure adequate staffing and coverage.
- Conduct daily shift briefings and debriefings.
- Provide coaching, guidance, and performance management to control room staff.
- Ensure adherence to SOPs, operational standards, and company policies.
- Maintain discipline within the control room and escalate misconduct or non-performance where required.
- Operational Control & Monitoring
- Oversee the monitoring of truck and driver movement to ensure compliance with designated routes and schedules.
- Ensure timely escalation and resolution of operational issues, delays, route deviations, or breakdowns.
- Review and verify the accuracy of tracking updates and fleet movement logs.
- Monitor driver behaviour and exceptions (idling, speeding, harsh braking, route deviation, unauthorized stops) and ensure corrective action is taken.
- Ensure real-time communication protocols with drivers are followed.
- Coordination & Communication
- Act as the primary communication point between the control room and internal departments such as Fleet Management, Operations, Workshop, Risk, and Customer Service.
- Ensure effective handover between day and night shift teams with comprehensive reporting.
- Liaise with external stakeholders when required, including customers, security providers, and third-party service providers.
- Reporting & Administration
- Consolidate and review shift reports submitted by Monitoring Clerks (incidents, delays, breakdowns, vehicle performance).
- Prepare daily, weekly, and monthly control room performance reports for management.
- Ensure all incidents and exceptions are documented and escalated per company procedures.
- Oversee administrative functions related to fleet monitoring and transport control.
- Risk, Compliance & Safety
- Ensure driver compliance with safety protocols and operational procedures.
- Monitor and enforce adherence to approved routes, authorised stops, and high-value load protocols.
- Identify risks and irregularities and ensure corrective actions are implemented.
- Support investigations into incidents, route deviations, or policy breaches.
- Drive continuous improvement in control room processes, systems, and safety measures.
- Systems & Technology Oversight
- Oversee the effective use of fleet tracking systems (e.g., MiX, C-Track, Volvo Connect).
- Train control room staff on system updates, new features, and procedural changes.
- Ensure data integrity, accuracy, and timely updating of system information.
- Escalate technical issues to IT or relevant service providers.
Minimum Requirements
- Grade 12 (Matric).
- 3-5 years of experience in fleet controlling, transport monitoring, or logistics operations.
- 1-2 years of supervisory or team leader experience (advantageous).
- Proficiency in fleet management/tracking systems (e.g., MiX, C-Track).
- Strong verbal and written communication skills.
- Ability to perform under pressure, multitask, and make real-time decisions.
- Strong administrative, analytical, and reporting skills.
- Willingness to work shifts, weekends, and after-hours when required.
