Contracts Coordinator – Reference: RST
North Cliff, Johannesburg.
Duties & Responsibilities
- Administer all documentation and paperwork pertaining to contractual obligations.
- Administration: answering calls, correspondence, invoicing etc.
- Operations: site planning for teams.
- Ordering of stock for teams.
- Submitting month‑end information for salaries: including absenteeism and any other relevant information.
- Ensuring team targets are met every month per team.
- Receiving orders and updating monthly job list and giving feedback to Managing Director regarding contracts and tenders awarded.
- Keeping track of team's daily visits to sites and their progress per site.
- Managing changes to the project scope, schedule and project costs where necessary.
- Detailed cost monitoring and tracking of each job.
- Liaising with clients and contracts department regarding progress on sites.
- Ensuring deliverables fall within Scope and contract value.
- Oversee all aspects, set deadlines, assign responsibilities, monitor and summarise progress of projects.
- Dealing with queries/complaints from clients and troubleshooting.
- Co‑ordination and completion of projects on time within budget and scope.
- Preparing invoices for jobs in progress and completed jobs.
- Preparing handover documents upon completion of projects as well as maintaining comprehensive project documentation.
- Establish and maintain relationships with clients.
- Courtsey calls to clients regarding progress on various projects.
- Follow up on reports submitted to the estimating department.
- Travel bookings (Flights, accommodation etc.).
Qualifications
- Grade 12
- Computer literate
- Previous site administration experience in a construction environment will be advantageous
