Job Description
- As Procurement Administrator, you will provide end-to-end administrative support for contracting and supplier management processes. You will ensure contracts are accurately drafted, executed, stored, and renewed while maintaining supplier data integrity and compliance with the organisation’s governance framework and the Preferential Procurement Policy Framework Act (PPPFA).
Key focus of the role
- Playing an active role within the Procurement function within the technology portfolio manager.
- Staying aware of and adhering to all business procurement requirements and challenges
- Supporting procurement contract administration systems and processes
- Building sustainable and compliant relationships with core suppliers and service providers
- Monitoring and reporting on procurement contract delivery against contract performance levels
- Ensuring safe custody and control of procurement contracts.
- Ensuring accurate recording of procurement contracts – eg value, renewal dates, service description, term, notice period, alert periods (dates) in the relevant contract administration systems.
- Managing daily workflow of procurement contracts under administration.
- Adhering to Contract Governance
Role Description & Key Result Areas
- Perform, manage and drive to conclusion supplier sourcing, formal selection through RFI RFQ and RFP processes, contract negotiation, procurement contract development and drafting.
- Negotiate procurement contracts including Master Services, Service, Supply, SLA , MoU’s, leases, etc, with suppliers
- Ensure timeous renewal and renegotiation of existing procurement contracts
- Remain aware of all relevant legal requirements, regulatory expectations, governances and organization policies
- Highlight non-compliance to issues relating to procurement contracts
- Manage and drive stakeholder input to procurement contracts including legal, finance and any other required function.
- Administer and control procurement contracts through formal processes and by the use of relevant contract administration systems
Qualifications and experience
- A relevant 3-year tertiary qualification is required
- A proven track record of at least 3 years relevant contract management experience
- A proven track record of high energy delivery in a procurement / procurement contracts / sourcing environment
- Strong experience in liaising with suppliers in terms of service, procurement contracts and future direction of services
- Reasonable experience in the review of procurement and contract terms
