Job description

Reporting to: Communications and Branding Manager

Location: Stellenbosch

Job Purpose

To coordinate the operational, administrative, and brand compliance functions of the Communications Department, ensuring smooth workflows, accurate record‑keeping, and consistent application of Peace Parks Foundation’s visual and narrative standards. The role ensures that departmental processes are followed, approvals are tracked, and all communications outputs are delivered on time and to standard.

Duties And Responsibilities
Operational Coordination (˜50%)
  • Maintain departmental calendars, project management systems (e.g., Monday.com), and shared filing structures.
  • Track deadlines and deliverables for campaigns, donor outputs, and publications; flag risks or delays early.
  • Support scheduling, coordination, and follow‑up for departmental meetings, including agendas and action lists.
  • Handle procurement, contracts, and logistics related to communications suppliers, events, and travel.
  • Maintain accurate and up‑to‑date records of departmental activities, project pipelines, and content approvals.
  • Provide administrative assistance to the Chief Communications Officer, including diary management, meeting support, and internal correspondence.
  • Ensure consistent communication between HQ and field teams regarding deadlines and requirements.
Brand Governance and Quality Control (˜50%)
  • Serve as the departmental focal point for brand compliance, ensuring all materials adhere to Peace Parks Foundation’s visual identity and tone of voice.
  • Review all communications materials, including reports, presentations, videos, and social media graphics for correct logo usage, colour palette, fonts, partner attributions, and formatting.
  • Maintain and update the Peace Parks Brand Toolkit, templates, and brand assets on SharePoint for staff and partners.
  • Ensure consistent application of partner logos and visibility guidelines across all publications and media.
  • Manage and track internal approval processes for all content, ensuring correct sign‑offs before publication or release.
  • Act as quality gatekeeper for all outgoing communications materials, liaising with project leads and senior managers to correct inconsistencies.
  • Support onboarding of new staff and partners on brand guidelines and internal communications protocols.
Minimum Requirements
  • Diploma or bachelor’s degree in office administration, communications, or business management.
  • Minimum 5 years’ experience in office coordination, communications support, or marketing administration.
  • Strong organisational and multitasking skills, with attention to detail and deadline discipline.
  • Demonstrated ability to manage approvals, workflows, and documentation in a fast‑paced environment.
  • Excellent interpersonal and communication skills in English.
  • Proficiency in Microsoft Office 365, SharePoint, and project management platforms (e.g., Monday.com).
  • Familiarity with branding, publication, or design processes is an advantage.
