About the Role

Our client in Construction is seeking a dedicated, detail‑oriented, and highly trustworthy Bookkeeper & Administrative Assistant to join our growing team. As we manage multiple simultaneous projects, keeping our financial records organized is critical to our success.

The ideal candidate will not only be a QuickBooks expert but also a proactive partner who can assist with administrative tasks and ensure our CPA receives accurate, timely reports. We are looking to onboard the right person before the end of the year.

Key Responsibilities
  • Financial Management: Perform full-cycle bookkeeping using QuickBooks, including accounts payable/receivable and bank reconciliations.
  • Transaction Classification: Accurately categorize expenses across multiple construction projects to ensure precise job costing.
  • Reporting: Prepare monthly financial statements and reports for ownership review.
  • CPA Liaison: Act as the primary point of contact for the company CPA, ensuring all tax-related documentation and year‑end data are delivered on schedule.
  • Administrative Support: Assist with office tasks, document management, and other operational duties as needed to support the owner.
  • Data Security: Maintain the highest level of integrity and security when handling sensitive banking and financial information.
Qualifications & Skills
  • Hard Skills:
    • QuickBooks Proficiency: Advanced experience navigating and managing QuickBooks (Online or Desktop).
    • Industry Experience: Prior experience in bookkeeping for the construction industry (job costing, lien waivers, etc.) is a significant plus.
    • Tech Savvy: High proficiency in Microsoft Excel and the Office 365 suite.
    • Financial Literacy: Strong understanding of P&L statements, Balance Sheets, and General Ledgers.
  • Soft Skills:
    • Trustworthiness: Proven track record of handling confidential financial data with discretion.
