Introduction
Purpose of the Role: To provide full bookkeeping and financial administrative support to the Financial Manager, ensuring accurate financial records, efficient processing of transactions, and compliance with accounting standards and company policies within a fast‑paced FMCG distribution environment. Kindly note that this role is based in Montague Gardens, Western Cape and that preference will be given to candidates that are currently based in the Western Cape.
Duties & Responsibilities
- Bookkeeping & Financial Administration: Maintain accurate and up-to-date accounting records to trial balance level. Capture and reconcile all daily cashbook transactions (bank, petty cash, credit cards). Process supplier invoices, GRNs, and payments. Prepare and reconcile debtors and creditors accounts. Manage general ledger postings and reconciliations. Prepare and maintain asset registers.
- Month‑End & Reporting: Assist the Financial Manager with month‑end journals and reconciliations. Prepare supporting schedules for management accounts and financial statements. Assist in variance analysis and cost tracking (sales, distribution, overheads). Support in preparing financial packs for management review.
- VAT, Compliance & Audit Support: Prepare VAT reconciliations and submissions. Maintain documentation for SARS and auditor compliance. Assist in audit preparation and respond to audit queries.
- Inventory & Cost Control: Monitor and reconcile stock movements with the warehouse team. Verify accuracy of stock valuations and investigate discrepancies. Support the Financial Manager in cost‑of‑sales analysis and margin reporting.
- Systems & Process Support: Capture and reconcile data in ERP / accounting systems (e.g. Sage Evolution). Support the digitisation and automation of financial processes. Maintain proper filing of all financial documentation.
Desired Experience & Qualification
- Qualifications & Experience: Minimum Qualification – Diploma or Degree in Accounting, Finance, or related field. Experience – 5+ years’ bookkeeping or financial administration experience. At least 3 years in FMCG, distribution, or manufacturing environment preferred. Strong understanding of inventory accounting and cost‑of‑sales principles. Advanced Excel and accounting software skills (Sage / Syspro / SAP / QuickBooks).
