Title: Bookkeeper / Administrative Assistant
Location: Remote (South Africa preferred; open to Latin America)
Hours: Full-Time, flexible with partial overlap to U.S. Eastern Time | 8:30am-5pm EST
Salary: $1,400-$1,800 USD/month (depending on experience)

With approximately 35 employees and $6 million in annual revenue, the business operates across three divisions - Medical Supply, Construction, and Vehicle - all focused on improving accessibility and quality of life for clients. The company is currently undergoing modernization under new ownership, bringing in fresh talent and systems to strengthen operations and efficiency.
About the Role
We are seeking a versatile and detail-oriented Bookkeeper / Administrative Assistant to manage our core financial tasks and provide essential administrative and project support. This role is approximately 70% focused on Bookkeeping and 30% on Administrative/Project Support.
This role offers excellent growth potential, with the opportunity to take on expanded responsibilities as the company continues to modernize and scale. The ideal candidate will be a self-starter who is comfortable speaking up in a respectful manner and managing a diverse set of responsibilities.
Key Responsibilities
Bookkeeping & Financial Management (Approx. 70%)
- General Ledger Management: Maintain and update the general ledger.
- Receipt and Expense Tracking: Systematically track and manage all business receipts and expenses.
- Account Reconciliation: Perform regular bank and credit card reconciliations.
- Billing and Accounts Receivable (AR): Manage invoicing, including actively playing an AR role for a specific segment of our B2B clients.
- Tax Coordination: Handle quarterly tax payments, including sales tax (if applicable), or coordinate this with our external CPA.
- Software Proficiency: Utilize and maintain financial tools, including QuickBooks Online (fully implemented) and Ramp.com for bill pay.
- External Liaison: Coordinate financial documentation and reporting with our external CPA for tax purposes.
Administrative & Project Support (Approx. 30%)
- Data Management: Update and maintain product pricing for our extensive product catalog using our ERP system.
- Data Entry: Perform various data entry tasks as required.
- Vendor Coordination: Assist with communicating and coordinating with vendors.
- Research & Reporting: Conduct research and prepare reports on various topics.
- Account Analysis: Perform account-level analyses, such as account profitability (high-value vs. low-value).
- Sales Plan Development: Develop basic account sales plans (e.g., comparing account purchase history to identify cross-selling opportunities) to be shared with the sales team.
- Special Projects: Assist with ad-hoc projects, such as maintaining patient records.
Qualifications & Experience
- Proven experience as a Bookkeeper or in a similar financial/administrative role.
- Proficiency with QuickBooks Online is essential.
- Strong understanding of reconciliation and invoicing procedures.
- Detail-oriented, process-driven, and highly organized.
- Excellent written and verbal communication skills.
- Comfortable working with tools such as RAMP, Zoom Phones, Zoom Fax, AI answering systems, and Loom.
- Experience or comfort working with an ERP system is highly desired.
- Proactive, solution-oriented, and able to operate autonomously.
- Confident, engaging with leadership and contributing ideas for improvement.
- Prior experience in a remote or international team setting is a plus.
