Position Summary
The Marketing Automation Specialist serves as a mission-critical resource responsible for planning, building, managing, and scaling automated marketing and operational workflows across a sophisticated tech stack. This role combines platform expertise, marketing funnel architecture, custom automation design, AI integration, and systems thinking.
This individual will operate as both a technical implementer and strategic advisor—ensuring marketing and operations are fully aligned through automation, lifecycle logic, and intelligent tool coordination. You'll be the architect behind the engines that power our clients' growth.
The ideal candidate is analytical, systems-driven, and thrives in a high-complexity, high-accountability environment where results, clarity, and operational scalability are paramount.

Custom Automation Design
You'll regularly be tasked with creating automation solutions that don't exist as pre-built templates—requiring you to:
- Translate complex business requirements into logical workflow diagrams
- Combine multiple tools and APIs creatively to achieve desired outcomes
- Build custom logic using webhooks, API calls, conditional branching, and data transformation
- Create scalable solutions that handle edge cases, errors, and unexpected scenarios
- Design systems that can be easily understood
Core Responsibilities
- Design sophisticated, multi-stage marketing funnels from lead capture through conversion and retention, including lead scoring, behavioral triggers, intelligent routing, and multi-channel orchestration
- Architect custom automation solutions for complex business requirements that require creative problem-solving beyond standard platform capabilities
- Build end-to-end funnel systems that seamlessly connect advertising platforms, landing pages, CRM workflows, sales processes, and post-conversion sequences
- Develop intelligent lead qualification frameworks using conditional logic, scoring models, behavioral analysis, and demographic/firmographic data
- Create closed-loop attribution systems that track marketing spend to revenue outcomes across multiple touchpoints
- Translate complex business requirements into technical workflow specifications, system diagrams, and implementation plans that non-technical stakeholders can understand
- Optimize funnel performance through continuous testing, data analysis, and systematic improvement of conversion rates at each stage
- Design scalable funnel templates that can be rapidly customized and deployed across multiple clients or business units
2. Advanced n8n Workflow Development
- Lead n8n implementation and optimization as the primary advanced automation platform for complex, multi-step workflows requiring custom logic
- Build custom integrations using n8n's HTTP requests, webhooks, and API connectivity for platforms without native integrations
- Develop sophisticated error-handling and fallback logic to ensure workflow reliability, data integrity, and graceful failure modes
- Create reusable n8n workflow templates and components that can be rapidly deployed across multiple client implementations
- Optimize workflow performance, including execution speed, resource usage, API rate limits, and cost efficiency

- Implement appointment scheduling systems with routing rules, calendar management, and automated reminder sequences
- Configure reputation management automation for review requests, response workflows, and reputation monitoring
- Design reporting dashboards within GHL showing marketing performance, pipeline health, and ROI metrics
- Train clients and team members on GHL functionality and best practices
4. Cross-Platform Integration & Data Orchestration
- Design and implement Zapier integrations connecting multiple platforms with proper error handling, filtering, and data transformation
- Build data synchronization systems, ensuring information stays consistent across CRM, project management, marketing platforms, and reporting tools
- Create intelligent routing logic that directs leads, tasks, and communications based on complex conditional criteria
- Implement webhook-based triggers for real-time data flow between systems without polling delays
- Manage API rate limits and implement queuing strategies for high-volume scenarios
- Build monitoring systems to alert on workflow failures, data inconsistencies, or performance issues
Who Thrives in This Role
You're Likely a Great Fit If You:
✅ Get excited about complex logic puzzles - You love the challenge of turning "I wish this could happen automatically" into "It now happens automatically."
✅ Think in systems and connections - You naturally see how tools and processes can fit together, even if they weren't designed to integrate
✅ Have a builder's mentality - You'd rather spend 4 hours building something once than 30 minutes repeating a manual task forever
✅ Care deeply about details - You catch the edge cases, think through the "what ifs," and build in error handling before problems occur
✅ Embrace iteration - You build v1 quickly, learn from real usage, and continuously optimize rather than waiting for perfection
✅ Stay calm under pressure - When a workflow breaks at 4pm on Friday, you troubleshoot methodically rather than panicking
✅ Are naturally curious - You explore new platform features, read API documentation for fun, and constantly think "I wonder if I could automate that?"
✅ Communicate clearly - You can explain technical concepts to non-technical people and translate business requirements into technical specifications
You're Probably Not a Great Fit If You:
❌ Prefer working with people over systems - This role is 80% building and optimizing automation, 20% client/team interaction
❌ Need constant hand-holding - You'll have autonomy and support, but need to be self-directed and resourceful
❌ Prefer front-end creative work - This is a technical backend role; you'll build the engine, not design the car
❌ Can't handle ambiguity - Requirements are sometimes vague; you need to clarify and propose solutions
❌ Want a 9-5 with zero off-hours urgency - While rare, critical automation failures may need immediate attention
❌ Dislike technical troubleshooting - Debugging failed workflows and API errors is part of the job
