Location: Secunda, Mpumalanga

Purpose of Job

To contribute to providing administrative and on site support to an allocated team, to promote administrative efficiency in day-to-day operations.

Key Accountabilities
  • Handles inquiries, schedules appointments, develops presentations.
  • Attendance of SHE meetings and conducting presentations on raising environmental awareness to the mine personnel and service providers.
  • Booking rooms and conference facilities.
  • Maintains scheduling and event calendars.
  • Arranging both in-house and external conference functions and events.
  • Ordering and maintaining stationery and equipment.
  • Mails documents and newsletters and other information as and when required.
  • Prepares and types documents, letters and reports.
  • Provide support in the reviewing of Standard Operating Procedures and executing the implementation of an environmental management system - ISO14001.
  • Organising and storing paperwork, documents and computer-based information.
  • Photocopying and printing various documents, sometimes on behalf of other colleagues.
  • Types and distributes meeting notes, routine correspondence, and reports.
  • Communicates with internal and external clients as well as receives and responds to correspondence.
  • Performs sorting, filing, and cross referencing of materials and documents.
  • Utilises, reconciles and manipulates data for management reports from different internal and external sources.
  • Maintains and update hard copy and electronic filing system e.g on Sharepoint
  • Adheres to agreed service level agreements.
  • Liaising with colleagues and external contacts to book travel and accommodation.
  • Answer telephones and give information to callers, take messages, or transfer calls to appropriate individuals.
  • Greets refers and assists visitors, clients, callers, staff and others and handle their inquiries, and direct them to the appropriate persons according to their needs.
  • Assists with conducting inspections on surface and underground to ensure legal compliance.
  • Provide support to the mine in managing the aspects and impacts associated with their mining operational activities.
  • Ensure the findings from inspections and internal/external environmental audits are assigned to responsible personnel; registered on Isometrix and closed.
  • Assist with collection of information and compilation of various reports, to be submitted to relevant authorities, as required.
  • Tracks key activities and tasks required as per legal compliance obligations.
