This exciting opportunity is available within Strategic Partnerships (a department of Santam Partnership Solutions) at our Alice Lane (Sandton) or Bellville (Cape Town) office.

What will you do?

The incumbent will play a key role in supporting the Head of Strategic Partnership and his team.

The incumbent will be required to handle highly confidential documents and information requiring utmost discretion.

Administrative Support

Expense management for the team, including preparation of the budget, handling expense accounts and claims, and responding to budget-related queries.

Gathering information, conducting background research, preparing summaries, and performing basic analysis as required.

Office asset management and maintenance of the asset register for the team (e.g., laptops), stationary inventory and requisition, data management and filing, and organizational charts.

Diary management, ensuring accurate scheduling of meetings, venue and facility arrangements, and timely follow-up of diary requests.

Organizing strategic sessions and various team events, including venue hire, logistics, and catering.

Managing and actioning incoming email, often corresponding on behalf of the manager.

Screening phone calls, enquiries and requests.

Assisting with ad hoc requests as needed by the team.

Travel Co-ordination

Co-ordinate travel arrangements for the Head of Strategic Partnerships team as needed.

Ensure adherence to Santam group travel and procurement policies.

Assist with Team Communication Initiatives

Minuting meeting action items, tracking progress and following up on delivery.

Maintaining the team intranet (SharePoint and MS Teams) site with updated documents, policies, communication and team details.

Distributing all team communication.

Arranging team engagement sessions and functions.

Maintaining the team contact list.

General Administration

Maintaining access to specific systems on instruction from authorised individuals (e.g., budget system).

Providing administrative support for new employee appointments, including arranging access to systems, computer equipment, parking and introductory meetings.

Qualification and Experience

A relevant administrative qualification will be required.

5 years' experience as an Administrative / Personal Assistant in a corporate team and / or supporting senior management.

3 years experience engaging with key business and external partners across all levels, including senior levels, on behalf of the line manager and area is recommended.

Computer literacy and efficiency (Advanced Excel, Word, PowerPoint and SharePoint).
