Job description

We are looking for a dynamic and experienced Admin Team Leader to lead our Retirement Fund Administration team.

This role is ideal for someone who thrives in a fast-paced environment, is committed to operational excellence, and is passionate about delivering exceptional client service.

Education & Experience Requirements
  • Matric– Essential
  • Relevant bachelor's degree or Postgraduate Qualification– Advantageous
  • Minimum 5 years' experiencein retirement fund administration
  • Extensive experience interminating retirement funds with the FSCA, including managing the full process from preparation of documentation to final deregistration.
  • Proven ability to liaise effectively with stakeholders, ensure regulatory compliance, and meet FSCA requirements within stipulated timelines.
  • Minimum 3 – 5 years' experiencein leadership or management roles
Key Performance Areas
Operational & Financial Excellence
  • Ensure operational efficiency and financial success of the branch
  • Manage expenses within branch standards and limits
  • Oversee fund allocations and eliminate PI claims
  • Identify opportunities for additional income and cost savings
Fund Administration Oversight
  • Supervise monthly contribution reconciliations for Pension and Provident Funds
  • Ensure accurate maintenance of member data and Section 13(a) reporting
  • Oversee processing and authorization of claims, including bulk transfers and housing loans
  • Prepare and review monthly client reports, administration reports, and member statements
  • Manage fund changes, financial year-end preparations, and risk reports
  • Ensure timely resolution of queries and emails
Team Leadership & Development
  • Build and lead a high-performing team of administrators
  • Conduct recruitment, performance reviews, and disciplinary processes
  • Mentor and coach team members, fostering a culture of continuous learning
  • Facilitate regular team meetings and one-on-one sessions
  • Ensure compliance with deliverables and quality standards
Client Service & TCF Implementation
  • Champion Treating Customers Fairly (TCF) principles
  • Deliver accurate and timely communication to clients and members
  • Represent the branch in client meetings and presentations
  • Ensure high-quality service delivery to both internal and external stakeholders
  • Manage client expectations and complaints in line with company procedures
Output, Success & Engagement
  • Support team during high-pressure periods and absenteeism
  • Take initiative in managing tasks and responsibilities independently
  • Contribute positively to branch operations and internal processes
  • Maintain departmental statistics and identify training needs
  • Lead by example in enforcing procedures and modeling leadership values
