Job summary

A dynamic agricultural operation is seeking a detail-oriented Admin Clerk to support administrative and financial functions. This part-time role involves tasks such as data capture, maintaining employee files, managing invoices, and reporting on diesel usage. Ideal candidates will have strong organisational skills, proficiency in Microsoft Word and Excel, and a proactive mindset. Previous experience in the agricultural sector is advantageous. The position is based in Howick, KwaZulu-Natal, South Africa.

Job description

We are looking for a detail-oriented and reliable Admin Clerk to join a dynamic farming operation. This part-time role is ideal for someone with strong organisational skills, a proactive mindset, and a genuine interest in supporting both administrative and financial functions within an agricultural environment.

Key Responsibilities
Data Capture
  • Capture milk volumes, cow numbers, calvings, and other operational metrics on 4th Quadrant
  • Submit monthly Eskom meter readings
Human Resources Support
  • Organise and maintain employee files
  • Develop and manage documentation checklists
  • Assist with employment contracts
  • Support coordination of Health & Safety and Employment Equity meetings
  • Capture timesheets and payroll-related data
Invoices & General Administration
  • Sort and file invoices alphabetically
  • Follow up on outstanding invoices
Credit & Insurance
  • Assist with credit applications and insurance claims
Diesel Usage Reporting
  • Maintain diesel usage data via the SFP App
  • Prepare data for SARS submissions
  • Monitor and report on fuel consumption trends
Vehicle Services & Licensing
  • Track vehicle hours/kilometres via the SFP App
  • Schedule vehicle servicing with service providers
  • Ensure all vehicles are licensed and records kept up to date
Ordering & Supplies
  • Place orders for feed, diesel, and fertiliser
Filing & Records Management
  • Maintain up-to-date financial and administrative filing systems
  • Assist with archiving of records
Accreditation Support
  • Assist with agricultural accreditations such as GlobalG.A.P. and SIZA
Requirements
  • Strong administrative and accurate data capture skills
  • High attention to detail with the ability to work independently
  • Proficiency in Microsoft Word and Excel
  • Good communication and organisational skills
  • Previous experience in a farming or agricultural environment will be advantageous
