Job description
Introduction

The Laboratory Administrator is responsible for managing the daily operations of a laboratory, ensuring efficiency and compliance. This role keeps the laboratory running at an optimised level of productivity within the organisation. Key duties include ordering supplies, maintaining equipment, identifying problem areas and finding workable solutions for re-establishing functionality as well as ensuring adherence to safety and regulatory standards.

They also handle administrative tasks like record-keeping, documentation and communication to suppliers and SAHPRA. The incumbent will support and prioritise a wide range of projects, distribute data as necessary, and perform other miscellaneous administrative duties as required.

Duties & Responsibilities
  • Verify and process laboratory supplier documents in collaboration with the QA Lead and in accordance with the approved suppliers list.
  • Obtain quotations and order all reagents, reference standards, columns, laboratory glassware and consumables in collaboration with the Operations Manager and Responsible Person.
  • Produce, submit, supply and process worksheets and report sheets used by analysts as per GDocP guidelines.
  • GRVing in of all laboratory consumables, reagents, standards, columns, glassware and cross‑checking it against original PO.
  • Obtain quotations of all laboratory work to be contracted out to a 3rd party service provider.
  • Create quotes for consumables and outsourced analysis for clients on testing needed.
  • Obtain permission from clients to outsource testing or order standards on their behalf.
  • Generate PO's for laboratory in‑house buying or on behalf of a client.
  • Arrange for calibration on various instruments in collaboration with the Operations Manager.
  • Maintain laboratory consumable inventory levels by tracking consumable procurement and usage, expiries, forecast etc.
  • Assist with waste management as per SOP in collaboration with the Operations Manager.
  • Controlling of specification safety datasheets for raw material and material safety data sheets.
  • Assist in registering of stability samples with Laboratory Personnel and Operations Manager.
  • Liaise with clients regarding their consumable orders and levels, create a collaborative environment with ongoing notifications and interactions.
  • Arranging for samples to be sent to 3rd party service providers via compliant couriers.
  • Liaise with suppliers related to their services, establishing of effective commercial relationships by following up and agreements.
  • Assist with management of front desk duties in the absence of the Office & Finance Administrator.
  • General filing of documentation as per job responsibilities.
Desired Experience & Qualification
  • KNOWLEDGE REQUIRED
  • Relevant Tertiary Qualification essential.
  • Strong Microsoft Office knowledge essential.
  • Must have previous work experience in a laboratory and has also purchased reagents, reference standards, glassware etc.
