Purpose of the Role

We are looking for a dedicated 3PL Stock Controller to manage and control inventory within 3PL and external warehouses. You will ensure accurate receiving, storage, dispatch, and reporting of stock, working closely with warehouse teams, customers, and internal departments to maintain operational efficiency and accuracy.

Key Responsibilities

Inventory Control & Reporting

  • Monitor inventory levels and ensure timely stock availability.

  • Maintain accurate records in Warehouse Management Systems (WMS) and Excel.

  • Conduct daily cycle counts, monthly stock counts, and reconcile discrepancies.

  • Generate and distribute daily stock-on-hand reports to clients and internal teams.

Receiving & Dispatch Coordination

  • Manage receiving notifications and ensure proper intake of stock.

  • Track shipments and coordinate with warehouse teams for timely receipt and dispatch.

  • Ensure proper labeling, storage, and compliance with customer specifications.

  • Oversee dispatch activities and update stock reports accordingly.

Quality & Compliance

  • Inspect incoming stock for quality issues and report discrepancies.

  • Ensure compliance with SOPs, regulatory standards, and safety requirements.

  • Maintain documentation for audits, shipments, and regulatory compliance.

Invoicing & Financial Coordination

  • Prepare invoicing schedules and ensure timely billing for received stock.

  • Verify customer accounts and follow up on outstanding payments.

Authority & Interaction

  • Approve stock release or hold under guidance.

  • Communicate directly with customers regarding stock status and discrepancies.

  • Coordinate closely with internal teams and external clients, suppliers, and logistics providers.

Requirements

Qualifications & Experience

  • Grade 12 or equivalent (Tertiary degree in Supply Chain, Business Administration, or related field is advantageous).

  • Minimum 2 years’ experience in inventory management or supply chain/logistics roles.

Skills & Attributes

  • Proficient in Microsoft Office Suite, including Excel; WMS experience essential.

  • Strong attention to detail, data analysis, and reporting skills.

  • Excellent written, verbal, and presentation skills.

  • Ability to work independently, under pressure, and collaboratively.

  • High level of organizational and administrative skills.

Desirable

  • Advanced Excel skills.

  • Industry-specific knowledge in commodity trading or logistics.

  • Willingness to go beyond the scope of responsibility.
