Formación

  • 2+ years of experience as an Executive or Administrative Assistant, preferably in Real Estate.
  • Advanced communication skills in English and Spanish, both written and verbal.
  • Knowledge of real estate processes and MLS systems.

Job Description

We’re looking for an Executive Assistant to support a Real Estate Broker with daily coordination, client communication, and administrative management.

This role goes beyond scheduling, the assistant will help organize listings, handle follow‑ups with clients and partners, manage property documentation, and support overall business operations to ensure smooth day‑to‑day performance.

The ideal candidate is proactive, detail‑oriented, organized and strong communication skills in both English and Spanish.

The position involves 8 hours per week, distributed on Mondays and Thursdays, with the possibility of increasing hours and days based on performance and business needs.

Responsibilities
  • Answer calls, record messages, and classify leads following provided scripts.
  • Manage communication with clients, tenants, and realtors through calls, texts, and emails.
  • Coordinate showings via ShowingTime and update listings on MLS.
  • Schedule and confirm appointments, open houses, and follow‑up visits.
  • Assist with vendor coordination and track completion of property management tasks.
  • Create and update marketing materials such as flyers and property brochures in Canva.
  • Send newsletters or campaigns using Constant Contact and update Google Business posts.
  • Maintain organized records of leads, listings, and client communications.
Requirements
  • 2+ years of experience as an Executive or Administrative Assistant (Real Estate preferred).
  • Advanced English and Spanish communication skills (written and verbal).
  • Knowledge of real estate processes, MLS systems, or ShowingTime.
  • High proficiency in Google Workspace (Docs, Sheets, Calendar, Drive).
  • Basic design skills using Canva and familiarity with Constant Contact or similar tools.
  • Strong attention to detail, follow‑up discipline, and organizational ability.
  • Tech‑savvy with the ability to manage calls, CRM data, and online tools efficiently.
  • Availability to work remotely during U.S. business hours (Eastern Time).
