Job summary

RESPITE CARE OF SAN ANTONIO is seeking a Youth Engagement and Services Coordinator to oversee daily operations in our San Antonio program. This full-time role reports to the Program Director and supports the care teams in coordinating medical, therapeutic, and social services for residents.

Responsibilities include conducting weekly MAR audits, coordinating appointments, maintaining calendars, ensuring documentation is filed promptly, and advocating for children at appointments.

Qualifications

• Must be 21 years of age or older with favorable background checks.
• High School Diploma or equivalent required; associate degree preferred.
• Minimum two years’ experience in a medical environment, preferably with intellectual disabilities.
• Valid driver’s license and reliable transportation.

Salary Range: $42,000.00 To $42,000.00 Annually

• The YES Coordinator will serve as the direct report to the Program Director, assisting with tasks and items pertaining to the operation as requested.
• Complete weekly MAR audits every Monday, unless otherwise Instructed by the Program Director. These MAR audits are to be presented every Wednesday to the Program Director, Quality Improvement Specialist, and representative from RCSAs onsite clinic.
• Audit medications weekly, every Tuesday & Thursday, and submit necessary refills on the same day.
• When needed, transport children to medical, psychological, & emergency appointments to ensure continuity of care in managing the children’s complex medical and/ or developmental needs.
• Serve as the liaison between our nursing staff, administrators, and the doctor’s offices
• Serve as an advocate for children in RCSA’s care during scheduled appointments.
• Create weekly medical, therapy, and visit calendars. These are to be completed every Friday for the week that follows. These must also be updated and kept in accordance with rescheduled or cancelled visits/ appointments.
• Be responsible for scheduling home health therapies and communicating appointment conflicts/barriers with physical, occupational, speech, and other therapies to the appropriate agency.
• Complete the Train the Trainer medication administration training and be responsible for all refresher/retraining needs within the residential program.
• Become responsible for receiving medical documentation, such as school excuses, and ensuring they are submitted to the appropriate recipients.
• Coordinate with case managers to ensure that all required medical, therapeutic, or specialist documentation is in hand and filed in a timely manner, no later than 1 week from the date of the appointment.
• Become responsible for creating and maintaining face sheets for all new and active emergency shelter residents. These are to be updated and modified to fit the changing needs of our residents on a regular basis.
• Serve as an essential leader to the overall success of Respite Care of San Antonio, to include:
• Participating in on-call rotation which allows for a work-life balance for the entire program team.
• Ability to perform all duties of direct care providers, counting as supervision ratio, when needed.

Cross-System Coordination

• Cross-system coordination including, but not limited to, maintaining, and supporting the child’s school, medical, dental, behavioral health, and other service needs. Must be well-versed in STAR Health services to ensure that children, youth, and young adults maximize benefits based on eligibility and meeting medical necessity criteria for the service(s).

Secondary responsibilities and opportunities may vary during school breaks or based on the number of appointments in a given week or based on the team member’s area of interest, but will serve to ensure the physical, emotional, and social well-being of the children. These generally include:

• Supporting Activities of Daily Living- Collaborate with the program and support teams to supplement daily routines with activities that foster self-esteem, support developmental milestones, and encourage socially appropriate behavior. Support and facilitate Normalcy activities, including clothing, specialized equipment, hygiene, culturally appropriate hair care, birthdays, holidays, graduations, and other age-appropriate experiences, in alignment with each child’s Service Plan. Assist in celebrating individual milestones and preparing for special events to promote a sense of belonging and personal growth.
• Mentoring- Similar to a “Big Brothers Big Sisters” program, team member will have the opportunity to establish continuous relationships with all of our children and in particular with our highly functioning children to ensure they experience “normalcy” in their childhoods. Activities could range from bike riding, studying for upcoming exams, or learning a new sport or instrument based on the relationship between the team member and the child.
• Educational Support & School Collaboration- Serve as a liaison between the program and schools to support each child’s educational success and well-being, in conjunction with the assigned Case Manager. Coordinate communication with teachers, counselors, and school administrators to stay informed of academic performance, behavioral concerns, and support needs. Organize and support participation in after-school activities such as clubs, sports, tutoring, and school-sponsored events. Attend parent-teacher conferences and school meetings to advocate for appropriate services and accommodations, ensuring that educational goals are aligned with each child’s Service Plan and individual strengths. Promote consistent school engagement and help address any barriers to academic success or social inclusion.
• Planning and Coordinating Activities & Field Trips- Develop and maintain a monthly calendar ofevents, field trips, and structured activities for the GRO program, ensuring a minimum of 10 age-appropriate and goal‑oriented activities are completed each month. Plan crafts, outings, andenrichment activities that match the developmental and physical abilities of the children, especiallyduring long weekends and school breaks. Collaborate with staff to align plans with children’s interestsand therapeutic goals. Coordinate logistics, including staffing, transportation, and distribution of funds,in partnership with the Quality Improvement Specialist, and keep the Director of Residential Servicesinformed.
• Creating Life Books- Capture photo images, quotes, and children’s experiences of events (field tripsand visitors) for future use (Life books, grants, daycare portfolio’s, etc.). Create a Life book for eachchild to keep as their own upon discharge from emergency shelter.
• Supporting Volunteer Activities- Assist the Director of Residential Services in assessing how volunteerscan help the children of DRH. This may include gathering Christmas Wish Lists from the children,helping to coordinate outside volunteers for an Easter Egg Hunt, etc.
• Shadowing- In order to better understand the logistics and functioning of every level of Respite’s care team, the team members will have the opportunity to shadow case managers, operations staff, development staff, the education coordinator, and others. Based on the team members’ area ofinterest, further opportunities will be available to engage with these roles.

REQUIRED QUALIFICATIONS

• Must be 21 years of age or older and have favorable findings on background checks to include the TexasDepartment of Public Safety, Texas Department of Health, and Texas Department of Family and ProtectiveServices criminal record checks and negative drug test .
• High School Diploma or equivalent required, associate degree or higher education preferred
• Minimum two years’ experience in a medical environment preferably with intellectual disabilities, mental health, health disorders, and related physical conditions.
• Valid driver’s license and reliable transportation
