Tommy Bahama is seeking a Workforce Planning Manager for our Auburn Distribution Center in Washington. This onsite role partners with DC Leadership to drive staffing plans, labor analytics, and temporary staffing programs across peak seasons.
You will manage agency relationships, timekeeping, and payroll coordination while ensuring compliance with federal and Washington state leave laws. The position offers growth within our Operations team.
This position works fully onsite at our Auburn Distribution Center, Monday-Friday. The typical start time is between 5:30am‑6:30am, based on business needs and the agreed‑upon schedule.
The Workforce Planning Manager partners with DC Leadership to administer labor and temporary staffing strategies within the Distribution Center (DC). This position collaborates with DC Leadership, internal departments, Human Resources, Finance, IT, and Third‑Party Staffing Agencies to shape staffing plans and drive daily, seasonal, and peak operational performance. The position leads temporary staffing administration—including agency coordination, onboarding, scheduling, attendance, timekeeping, and assignment tracking—while building and maintaining the labor systems and reporting DC Leadership relies on to make staffing and business decisions. The Workforce Planning Manager delivers timely staffing, labor, productivity, and financial insights to DC Leadership, and proactively identifies and communicates staffing issues, discrepancies, and exceptions for resolution.
Partner with DC Leadership and Corporate HR to ensure compliance and uphold labor and staffing policies that support production goals and Tommy Bahama's culture and values. Lead execution of daily, seasonal, and peak staffing plans with Third‑Party Staffing Agencies, covering headcount, scheduling, assignments, and the full temporary associate lifecycle (placement, onboarding, performance tracking, and completion). Monitor daily staffing levels and attendance (call‑offs, tardiness, breaks, leave), communicating gaps and adjustments to leadership and agency partners; approve temporary associate timecards for payroll. Select and manage staffing agency partnerships, including rate negotiation, weekly payroll coordination, and invoice reconciliation against hours and attendance records. Maintain working knowledge of federal and Washington State leave laws (Paid Sick Leave, PFML, FMLA) and apply them to scheduling, timekeeping, and compliance reporting.
Serve as key administrator for DC systems (Kronos, SRM, Security Access, Blue Cherry, Dematic, Brivo), ensuring accurate data entry and system integrity for labor, payroll, and access records. Analyze labor performance versus goals with DC Leadership and recommend staffing adjustments; prepare monthly accrual reports for Finance and quarterly SOX user‑access reviews. Manage onboarding for full‑time DC employees (orientation, I‑9 verification, HR coordination) and report weekly FMLA leaves to HR. Partner with Payroll and IT to ensure accurate timecards, resolve system issues, and support pay/schedule changes. Ensure compliance with DC safety standards; prepare operational reports and the bi‑weekly evacuation list. Champion workplace culture / representing Tommy Bahama Group initiatives as a member of the DC Leadership team. Acting as a “visible, active coach” leading continuous improvement of Labor Management best practices. Supporting consistency in how full‑time employee attendance is tracked across the management team. Working with HR Benefits to schedule full‑time employee appointments.
Support ad hoc business needs (physical inventory, system testing, employee sales events, security coverage) and other duties as assigned.
Rate Range: $85,000.00 to $109,100.00 Annually.
