Job summary

M.C. Dean is seeking a Work Control Specialist to manage InfraLink CMMS, plan preventative maintenance, and track corrective actions across our facilities.

You will coordinate with shift leads, manage work orders and procurement queues, and generate client reports to ensure proactive maintenance and efficient workflows.

Candidates should have a high school diploma with extensive experience, strong MS Office skills, and the ability to obtain required security clearances.

  • High School Diploma with 8+ years of experience.

Responsibilities

  • Coordinate with Shift Leads and operations to create weekly, monthly, and quarterly maintenance schedules and look-ahead.
  • Implement preventative maintenance schedules and track progress to enable accountability through metrics and reporting.
  • Track and report on metrics for corrective maintenance using data analysis to identify trends and inefficiencies.
  • Utilize Excel, Tableau, PowerBI, PowerPoint, and other tools to export, analyze, and report CMMS information.
  • Collaborate with Quality Control to highlight issues identified in the field or via data analysis and ensure proactive maintenance.
  • Evaluate processes and make recommendations to management for improvements in workflows, policy, or structure.
  • Ensure complex work orders transition to above standard in a timely manner and deconflict material procurement with procurement team.
  • Provide client status updates during daily meetings and become proficient in InfraLink administration.

Clearance Requirement

Applicants selected will be subject to a government security investigation and must meet eligibility requirements, including U.S. Citizenship, for access to classified information; Ability to obtain and maintain Top-Secret and HSPD‑12 Clearances.

Responsibilities

The Work Control Specialist is the primary driver of CMMS (InfraLink) administration and processes and is responsible for the above functions, utilizing external and team member resources where applicable and ensuring an overall efficient workflow.

M.C. Dean utilizes a proprietary computerized maintenance management system (CMMS) – this system is called InfraLink and it supports the following functions:

  • Document in detail all physical assets within our facilities.
  • Plan and schedule required maintenance for assets.
  • Document and track unplanned (corrective) repairs and maintenance.
  • Enable the management of overall program resources (primarily labor) and enable efficient workflows.
  • Evaluate overall performance of the program via Key Performance Indicators (KPI’s) such as response time, open duration, time pending procurement, issue type recurrence, etc.
  • Enable short- and long-term tracking, trending, analysis, and decision making.

Key Responsibilities:

  • Coordinate with Shift Leads, and operations team members to createweekly, monthly, and quarterly maintenance schedules and look-ahead.
  • Implement preventative maintenance schedulesand closely track progress and updates to enableaccountabilityfor progress and productionviametrics and reporting.Proactivelyidentifyconcerns with production and collaborate with management and team members to implement correctivestrategies.
  • Track and report on metrics for corrective maintenance.Usedata analysisskills, tools, and methods toanalyze data andidentifytrends, issues, and inefficiencies.
  • Utilize Excel,Tableu,PowerBI, PowerPoint, and other tools to export, analyze, and report CMMS information.
  • Collaborate with Quality Control to highlight potential issuesidentifiedin the field, or issuesidentifiedvia data analysis.Workensures thatthe program is focused on proactive and preventative maintenance.
  • Evaluate processes and make recommendations to management for improvements in workflows, policy, process,or organizational structure.
  • Focus on closing process gaps to ensuretechnical issues in the field are completed ina timelyand efficient manner.Escalate key issuesor recommendations to management.
  • Ensurethat‘complexworkorders’transition tothe‘above standard’,IDIQ program ina timelyand efficient manner.
  • Review work orders that are pending material.Ensure shift leads and technicians are accountable for updates.Meet with procurement team todeconflictupdates, outstanding orders, duplicates, etc. Overallensure a smooth and efficient process for work orders requiring procurement.
  • In coordination with management, proactivelyidentifykey priority issues for our client and providetimelyandaccurateupdates.
  • Support daily morning meetings with the client–providing a status update on recent work orders, upcoming work, and priority issues.
  • Become well versed inInfraLinkuse and administration. Initial and some ongoing training will be provided–however it is expected that the candidate will be comfortable learningnew technologyand can self-develop an intermediate skillset.
  • Train technicians/Shift Leadson theInfraLinksystem.
  • Collect datafrom technicians, clients, andtenantsrelated to critical outages orincidents.Document findings and recommendations andformatafter action reports for submission to the Client.
  • Relaying InfraLink performance, process, or technical concerns to QC Team and DPM.
General Admin
  • Create, collect, and organize reportsandupload toclientGoogle Driveaccount.Manage document naming, version, and history.
  • Create meeting agendas, take meeting minutes,and distribute meeting documentation.
  • Assistmanagement withmaintainingStaff Directory,Personnel Certificates/Licenses, etc.
  • Assistwith distribution/trackingof parking passes
  • Assistwith organizing, scheduling,external stafftraining
  • Various administrative duties (initialreport drafts, templates, etc.)–out of order signs, forms, prints etc.
  • Managetechnicianuniformprogram; procurement, tracking, ordering, issuing, etc.
Other Duties as Assigned
  • Whennecessary,provide surge / back-up support tovarious other positions.Duties may include but not be limited to the following:
  • FacilitiesHelpdesk.Answer customer callsand/or emailswith a high degree of professionalism and customer service.Document caller information and specifics of the reported issue.Enter the issue intoInfraLinkand communicate with team membersto dispatchthe issue.
  • Schedule service appointmentsfor technicians.Assistingwith scheduling hard to access areas for PMs or Repairs.
Qualifications
