Job summary

HHM Health is seeking a Women’s Health Practice Manager to lead operational systems across Dallas-area clinics, standardizing workflows and ensuring service-line integrity.

You will supervise clinic staff, collaborate with clinical and operations leadership, and drive staffing, scheduling, patient access, and procedural workflows to support growth and high-quality care.

Qualifications

  • 3–5 years of progressive healthcare practice, clinic, or ambulatory operations experience.
  • At least 2 years of supervisory or management experience.
  • Ability and willingness to travel between Women's Health clinic locations across the Dallas area.
  • Experience managing staff, workflows, scheduling, patient access, operational performance, and process improvement.
  • Experience with EHR and practice management systems preferred.

Responsibilities

  • Provide operational oversight for Women’s Health services across locations, ensuring standard workflows and accountability.
  • Supervise, coach, and develop Clinic Supervisors/Leads and staff with a visible leadership presence.
  • Partner on staffing, scheduling, patient access, procedures, workflows, and service‑line priorities.
  • Develop and implement standardized workflows, SOPs, policies, forms, and operational processes.
  • Establish consistent workflows for obstetric, gynecologic, preventive, and in-office procedures.
  • Coordinate processes for procedures such as IUDs, implants, colposcopy, biopsies and related services.
  • Maintain pregnancies/deliveries tracking, due dates, providers, and postpartum follow-up.
  • Monitor delivery volumes, patient access, provider productivity, and KPI trends.
  • Support hospital partnerships, credentialing, communication pathways, and patient handoffs.
  • Support expansion of Women’s Health services and in-house procedures.

We are seeking a Women's Health Practice Manager with a passion for service excellence to join our team. The Women's Health Practice Manager serves as the primary operational leader for HHM Health's Women's Health service line, including obstetrics, gynecology, preventive women's health, procedures, and related services across all assigned locations. The Practice Manager is responsible for daily practice operations as well as developing and standardizing workflows and SOPs, supporting service-line growth, tracking obstetric deliveries, coordinating the operational aspects of hospital partnerships, and ensuring consistent processes for Women's Health procedures and services.

The position works in close partnership with the Provider Director of Women's Health, physicians, advanced practice providers, and Operations leadership to translate clinical service needs into effective, compliant, patient-centered, and sustainable operational workflows while maintaining clear separation between clinical decision-making and operational management.

  • Provide operational oversight for Women's Health services across assigned locations, ensuring consistent standards, workflows, and accountability.
  • Supervise, coach, and develop Clinic Supervisors/Leads and operational staff while maintaining a visible leadership presence across sites.
  • Partner with Women's Health clinical and Operations leadership on staffing, scheduling, patient access, procedures, workflows, and service‑line priorities.
  • Develop, implement, and continuously evaluate standardized workflows, SOPs, policies, forms, and operational processes.
  • Establish consistent operational workflows for obstetric, gynecologic, preventive, family-planning, and in-office procedural services.
  • Coordinate operational processes for procedures such as IUDs, contraceptive implants, colposcopy, biopsies, and other approved Women's Health procedures.
  • Develop and maintain workflows for prenatal, postpartum, high-risk referrals, inductions, deliveries, hospital transfers, surgeries, and continuity of care.
  • Maintain centralized tracking of pregnancies and deliveries, including due dates, delivering providers/hospitals, completed deliveries, and postpartum follow-up.
  • Monitor delivery volumes, patient access, provider productivity, scheduling, patient flow, and other key Women's Health performance metrics.
  • Support the development and maintenance of hospital partnerships, provider affiliations, credentialing processes, communication pathways, and patient handoffs.
  • Support growth and expansion of Women's Health services, including identifying opportunities to bring additional services and procedures in-house.
  • Ensure clear role of responsibilities and standardized workflows across providers, clinical support staff, front office, scheduling, referrals and leadership teams.
  • Oversee staffing, recruitment, onboarding, training, performance management, supply/equipment readiness, and efficient use of organizational resources.
  • Partner with Quality and Revenue Cycle teams to support HEDIS, UDS, preventive care, care-gap closure, documentation, authorization, coding, billing, collections, and reimbursement.
  • Ensure regulatory and operational compliance while leading performance improvement initiatives, resolving patient concerns, and communicating reports, trends, barriers, and action plans to leadership.

Leadership & Accountability

The Practice Manager is accountable for ensuring that Women's Health locations function as one standardized service line rather than as independent clinics. The role establishes operational expectations, develops sustainable processes, holds clinic leadership accountable for execution, identifies barriers, and escalates clinical, safety, compliance, or operational concerns to the appropriate leadership.

  • High school diploma or equivalent required.
  • 3-5 years of progressive healthcare practice, clinic, or ambulatory operations experience required.
  • At least 2 years of supervisory or management experience required.
  • Ability and willingness to travel between Women's Health clinic locations across the Dallas area as needed to provide operational oversight, support staff, and ensure consistent workflows and service delivery.
  • Demonstrated experience managing staff, workflows, scheduling, patient access, operational performance, and process improvement.
  • Bachelor's degree in healthcare administration, Business Administration, Management, Public Health, or a related field preferred.
  • Women's Health, OB/GYN, or gynecology practice‑management experience is strongly preferred.
  • Experience overseeing multiple clinic locations or an ambulatory healthcare service line preferred.
  • Experience developing, implementing, documenting, training, and monitoring workflows, SOPs, and standardized processes.
  • Experience supporting obstetric delivery coordination, procedural services, hospital relationships, or continuity‑of‑care processes preferred.
  • FQHC, community health center, or similar ambulatory healthcare experience preferred.
  • Experience with electronic health record (EHR) and practice management systems preferred.
  • Strong leadership, staff development, communication, project management, conflict resolution, and organizational skills.
  • Working knowledge of Women's Health/OB-GYN operations, patient access, scheduling, procedures, referrals, and continuity of care.
  • Ability to manage multiple locations, competing priorities, service‑line initiatives, and changing operational demands.
  • Ability to analyze operational data, identify trends, monitor KPIs, and develop measurable corrective action plans.
  • Ability to collaborate effectively with providers, clinical leadership, hospital partners, HR, Finance, Quality, Revenue Cycle, Credentialing, and other departments.
  • Demonstrated focus on patient access, provider productivity, appointment availability, procedure utilization, patient flow, wait times, and service‑line growth.
  • Ability to support pregnancy/delivery tracking, postpartum continuity, quality initiatives, UDS/HEDIS performance, preventive screenings, and care‑gap closure.
  • Ability to maintain operational readiness, regulatory compliance, infection prevention, Environment of Care standards, and efficient staffing/resource management.
  • Ability to support authorization, billing, collections, reimbursement processes, and financial performance while maintaining accountability for overall Women's Health operational outcomes.
