Job summary

WMCH Weirton Medical Center is seeking an Admissions/Registration Clerk to greet patients and legal representatives, gather complete information, explain forms, and manage documentation for hospital encounters. The role requires coordinating room assignments, handling transfers, and ensuring accurate charge entry and insurance procedures.

Responsibilities include maintaining records, managing office supplies, assisting with billing, and supporting patient care coordination.

Qualifications

  • High school diploma or equivalent.
  • One year experience in admissions and registration preferred.
  • Excellent written and verbal communication skills.

Responsibilities

  • 1. Promptly acknowledges and greets patient/legal representative. Determines appropriate service and assesses patient acuity.
  • 2. Interviews patient/legal representative to obtain complete accurate information, in a timely courteous manner.
  • 3. Explains all forms requiring signatures, informs patient of their rights, and provides hospital information/brochures.
  • 4. Prepares appropriate chart.
  • 5. Determines, coordinates and secures appropriate patient room assignments based on current policy.
  • 6. Ensures proper transportation of patient to appropriate nursing unit or ancillary department.
  • 7. Enters appropriate ancillary testing orders.
  • 8. Evaluates and enters the emergency room charges accurately for services for services, pharmaceuticals and supplies rendered.
  • 9. Accurately documents all scheduling and reservations called in by physician and/or their office staff.
  • 10. Investigates, resolves and documents problems in a timely, efficient manner. Contacts Medical/Dental Staff, Nursing Units and Patient Care Administrator as needed.
  • 11. Maintains current knowledge of State, Federal and individual insurance procedures related to the hospital’s registration functions.
  • 12. Responsible for checking and reconciling all admissions, discharges and transfers, used to establish the daily census records.
  • 13. Maintains adequate supply of office materials; orders replenishments from Materials Management.
  • 14. Maintains control of keys distributed for PBX, Weir Conference Room and Starvaggi Board Room.
  • 15. Documents and secures patient valuables in the safe when left with the Admitting Office for security purposes.
  • 16. Responsible for checking the admission report generated daily for proper transfer of charges to the appropriate patient account.
  • 17. Responsible for the collection of money for private room, respite care, and point of service collection.
  • 18. When working in the Emergency Department collect co-pays and self pays for ED visits.
  • 19. Operates the hospital switchboard efficiently and courteously.
  • 20. Executes emergency plans calmly and promptly per procedures.
  • 21. Maintains accurate records of patients, medical staff and hospital personnel for communication and patient care.
  • 22. Performs additional duties such as answering telephones and providing information.
  • 23. Provides professional, courteous service while maintaining confidentiality of patient and hospital information.
  • 24. Safeguards patients' rights and respects confidentiality, privacy, security, and related needs.
  • 25. Attends in-services and required educational programs.
  • 26. Attends and participates in at least three staff meetings annually.
  • 27. Identifies self-improvement areas and writes goals on performance appraisal.

  24. 24. Each employee has a fundamental responsibility to safeguard patients' rights and demonstrate respect for such patient needs as confidentiality, privacy, security, complaint resolution, spiritual counseling, and communication.
  25. 25. Attends in‑services and other educational programs as required.
  26. 26. Attends and participates actively in a minimum of three staff meetings annually.
  27. 27. Determines areas of self improvement; writes goals on performance appraisal.
