Job Title: Web and Information Technology (IT) Systems Coordinator

Position Type: Employee

Salary Range: $5,458 - $8,352

Location: Oregon Department of Transportation, Policy, Data and Analysis Division – Public Transportation Office, Salem. Hybrid work options available; person can work remotely with expectation of office presence at least once per month and additional in-person meetings as needed. Occasional travel within and outside Oregon may be required.

Job Description:

The role: Join our Public Transportation Office as our web and information technology (IT) systems coordinator. In this role, you’ll be the technology professional responsible for managing and improving the division’s business systems, websites and collaboration tools. You will primarily administer existing tools that include the OPTIS grants management system, Cognito Forms, SharePoint, external website and look to harness Smartsheets, and Microsoft PowerBI. You’ll work directly with staff to understand their needs, solve technology challenges and turn business needs into practical solutions that improve how we work.

A day in the life:
  • Administer and support grant management and digital systems used by the Public Transportation Office.
  • Design, maintain and improve technology tools that support grant administration, data collection, reporting and operational needs.
  • Analyze business processes and workflows to improve efficiency, coordination, compliance and service delivery through technology.
  • Evaluate, implement and manage technology solutions, including business intelligence, automation, collaboration and emerging technologies.
  • Provide technical assistance, system support and troubleshooting to Public Transportation Office staff and statewide users.
  • Manage internal and external web content, ensuring information is accurate, accessible and aligned with organizational standards.
  • Lead technology and web projects from requirements gathering through implementation, including testing, scheduling, procurement and internal and external partner coordination.
  • Develop and deliver training, guidance and technical support related to systems, applications, reporting, web tools and approved technologies.
  • Develop and maintain data, system and content governance practices, including system administration, user access, data management and content review.
  • Ensure technology solutions and digital processes align with organizational policies, regulatory requirements, accessibility standards, and established procedures.

Minimum qualifications:
  • Any combination of experience and education equivalent to five years of experience that typically supports the knowledge and skills for the classification specific to managing technology systems, improving business processes, and coordinating technology projects.
  • OR a bachelor's degree in business or public administration, behavioral or social sciences, finance, political science, data analytics, computer science, or any degree demonstrating the capacity for the knowledge and skills; AND two years professional-level evaluative, analytical and planning work specific to managing technology systems, improving business processes, and coordinating technology projects.
What we’d like to see:
  • Demonstrated ability to serve as a primary system administrator across diverse information technology platforms, including grants management systems, form-building applications such as Cognito Forms and Microsoft tools such as SharePoint.
  • Demonstrated ability to analyze workflows and design technology-based solutions that improve organizational efficiency using tools such as Power BI, Power Automate and SharePoint.
  • Experience developing dynamic dashboards that communicate complex information clearly and effectively to managers and support informed decision making.
  • Demonstrated project management experience coordinating with internal and external partners across organizational units to establish objectives, manage deliverables and achieve shared goals.
  • Experience developing policies, procedures and processes for maintaining web content and ensuring compliance with accessibility requirements.
