Job summary

Whitley Penn is seeking an Operations Associate to join the WPWealth team in a fully in-office role in Fort Worth or Dallas. You will prepare and process new account paperwork, interact with custodians, and maintain client data in Orion and Wealthbox.

The position emphasizes accuracy, confidentiality, and teamwork in a fast-paced financial services setting. The role requires 18+ months of operations experience in financial services, excellent communication, and strong Microsoft Office skills.

  • Ability to work well in teams and fast-paced environments.
  • 18+ months of operations/service experience in financial services or related industry.
  • Excellent computer skills with intermediate to advanced MS Office.
  • Discretion and ability to handle confidential information.

Responsibilities

  • Prepare and process new account and service paperwork.
  • Communicate with custodians to resolve client issues and follow up on documentation.
  • Input client data into Orion and Wealthbox.
  • Handle internal operations tracking and reporting.
  • Assist with onboarding and enrollment material for qualified plan business.
  • Serve as a contact for retirement plan participants via calls, emails, and mail.

Title: Operations Associate

Classification: Full-time; Non-Exempt

Location: Fort Worth or Dallas

Office Expectations/Hours: Fully in-office position; general work schedule is Monday – Friday, 8 hours/day between 8am to 5pm with overtime, as needed.

What You Will Do
  • Responsible for preparing and processing new account and service paperwork, including new account applications, distribution forms, transfer requests, letters of instruction, address changes, etc.
  • Communicate with custodians to resolve client issues and follow up on documentation sent to ensure proper completion.
  • Gather, organize, and input client data into Orion, Wealthbox
  • Internal operations tracking and reporting
  • Support our qualified plan business by assisting with new plan on-boarding, preparation of enrollment material and scheduling of annual plan reviews
  • Serve as a contact for retirement plan participants by answering telephone calls, emails, and incoming mail questions
  • Learn and adapt to service needs of various clients to answer day-to-day questions
  • Quickly develop knowledge of forms and account procedures to assist clients

  • Ability to work well in teams and in fast-paced, cross-collaborative environments
  • At least 18 months of operations and/or service experience in financial services or related industry
  • Excellent computer skills with intermediate to advanced knowledge of Microsoft Office applications
  • Ability to be discreet and maintain confidential information at all times
  • Professional verbal and written communication skills with a strong attention to detail
  • Comfortable working in an open office environment
