Job summary

Hutchinson Community College is seeking a Site Coordinator for the VITA program during the January–April season. The role requires coordinating the site, training volunteers, maintaining tax law updates, and ensuring accurate e-filing of returns.

Responsibilities include supervising volunteers, submitting IRS rosters, and closing the site securely each day. This temporary position does not include college benefits and is grant-funded.

Responsibilities

  • Share tax law updates and alerts with preparers and keep site file.
  • Ensure quality review on each return before e-filing.
  • Manage workflow of returns and call taxpayers to review/sign.
  • E-file all returns at end of each work day.
  • Check rejections and re-file as needed after contacting taxpayers.
  • Assist volunteers with tax law issues and resolutions.
  • Lock up laptops and secure site and premises after shifts.
  • Close tax software/site at season end; update staff statuses.
  • Review Quality Site Review for IRS site visit readiness.
  • Arrive on time and perform responsibilities; comply with policies.
  • Perform other duties as assigned by the Director of the Volunteer Center.

Job description

RESPONSIBILITIES

Essential Functions:

  • Organizing and running the site.
  • Successfully complete Site Coordinator online training; intake interview sheet training; basic and advanced tax preparation testing.
  • Organize supplies and set up tax preparer room prior to opening day ensuring all required VITA posters/signs are displayed.
  • Complete and submit a roster of all site volunteers to IRS.
  • Communicate & share tax law updates, and Alerts with all preparers and keep a file on site.
  • Ensure a quality review on each return prepared is completed before e-filing.
  • Manage workflow of returns dropped off for preparation & assign to volunteers for completion. Call taxpayers to return to site to review & sign completed returns prior to submission.
  • E-file all returns at the end of each working day.
  • Compare e-file transmittals with acknowledgement reports to account for all returns.
  • Check for rejected returns and determine reason for rejection. Call taxpayers to determine course of action and re-file return as soon as possible.
  • Assist volunteers in tax law issues & make decisions on resolutions & procedures. (Use 4012 as reference for both scope of work & tax law issues).
  • At end of the day, make sure all laptops are locked up, any taxpayer information is in locked file cabinet and/or locked cupboard. VITA site room should also be locked, and Salvation Army doors are locked following evening shifts and Saturday hours.
  • Tax software & site needs to be closed at the end of the season. Change tax preparers, excluding site coordinator(s) to inactive. At beginning of season, change tax preparers to active status.
  • Review Quality Site Review form to make sure all IRS rules are being followed at the site and prepare for IRS Site Visit.
  • Arrive on time for work, attend work regularly, and successfully perform the responsibilities of the position.
  • Comply with HutchCC and StartUp Hutch policies, procedures, and practices.
  • Performing other responsibilities as assigned by the Director of the Volunteer Center.
QUALIFICATIONS
  • Successfully complete Site Coordinator training and Tax Law Training to the Advanced level of certification.
  • Experience and proven history of working with numbers.

  • Physical requirements include but not limited to: safely pushing, pulling, reaching, bending, stooping, walking, carrying, climbing, and lifting up to 20 pounds
  • Physical requirements include the ability to sit or stand in front of a computer screen for extended periods of time; ability to keyboard and operate office equipment; excellent verbal, written and listening skills; see and read a computer screen and printed material with or without vision aids; hear and understand speech at normal levels and on the telephone; speak in audible tones so that others may understand clearly in person and on the telephone; use appropriate judgment and to apply tact and courtesy in difficult situations; attentive to detail, accurately follow written and verbal instructions, work independently, sedentary/indoor work environment.
  • Mental requirements include the ability to learn and comprehend basic instructions about the position.
  • Physical and mental qualifications must be achieved with or without reasonable accommodation.

SALARY and STATUS

The hourly rate of pay will be commensurate with the individual’s qualifications, as determined by HutchCC administration.

This is a temporary, seasonal, grant-funded, at-will position anticipated to run from January through April 2027. Continued employment and the duration of the assignment are contingent upon available grant funding and may be shortened or otherwise affected by the amount or continuation of grant funds awarded.

The position is not eligible for college-sponsored benefits. Based on its temporary and seasonal designation, the position is not expected to qualify for KPERS participation.
