Job summary

Think Iowa City – The Iowa City/Coralville Area Convention & Visitors Bureau seeks a Visitor Experience Coordinator to manage group servicing and visitor support in the Iowa City/Coralville area. You will coordinate meetings, conventions, sporting events, and other groups, handle inquiries, and maintain CRM records while supporting the Sales department.

The role includes creating welcoming experiences, managing materials, and fostering partnerships with hotels, attractions, and venues.

Qualifications

  • Bachelor's degree or equivalent experience.
  • Hospitality, tourism, events, customer service, or related experience is preferred.
  • Strong organizational skills and attention to detail.
  • Must be a self-starter and able to work independently while managing multiple priorities.
  • Strong verbal and written communication and customer service skills.
  • Computer skills including CRM/database systems are helpful.

Responsibilities

  • Manage servicing for meetings, conventions, sporting events, and other groups, coordinating client needs, destination resources, welcome materials, amenities, and partner connections.
  • Serve as a resource for visitors and groups by responding to inquiries and providing accurate information and recommendations on the Iowa City/Coralville area.
  • Help coordinate client visits, site inspections, and familiarization tours.
  • Manage all visitor and group welcome materials, including inventory, ordering, organization, assembly, and distribution.
  • Track all visitor experiences and servicing metrics.
  • Maintain and update CRM with accurate client, group, servicing.
  • Complete servicing and post-event reporting, including surveys, thank-you communications, post-convention reports, hotel pick-up reports, and other follow-up.
  • Develop and maintain strong relationships with hotels, attractions, restaurants, venues, transportation providers, and other hospitality partners.
  • Assist the Sales department with proposals, presentations, research, database management, reporting, trade show preparation.
  • Maintain and organize destination sales collateral and digital assets.
  • Provide administrative support to the Vice President of Sales.
  • Represent Think Iowa City and the Iowa City/Coralville area professionally with visitors, clients, partners, and the community.
  • Perform other duties and special projects as assigned.
  • Able to perform light lifting of up to 40 lbs.
  • May be required to work some evenings and weekends.

Position Overview
The Visitor Experience Coordinator is responsible for managing group servicing and visitor support to create a welcoming and seamless experience in the Iowa City/Coralville area. This position coordinates servicing for meetings, conventions, sporting events, and other groups; manages visitor inquiries and welcome materials; maintains accurate tracking and CRM records; and provides support to the Sales department in promoting the Iowa City destination.

Essential Duties & Responsibilities
