Job summary

ACCEL Schools in Florida seeks a Program Coordinator to manage the day-to-day implementation of our grant programs. You will monitor budgets, maintain records, and ensure compliance with Florida Department of Education requirements while coordinating with school leadership and finance staff.

This role requires strong organizational skills, experience with grant administration and budgeting, and proficiency in Excel/Sheets. Occasional travel for testing and events is expected as part of the role.

Qualifications

  • Bachelor's degree in education, business, finance, public administration, or related field.
  • Experience with grant administration, budgeting, financial tracking, compliance, or program coordination.
  • Strong organizational and recordkeeping skills with exceptional attention to detail.
  • Proficiency with Microsoft Excel, Google Sheets, or similar financial tracking tools.
  • Ability to manage multiple deadlines and priorities independently.
  • Strong written and verbal communication skills.
  • Experience working in a Florida K–12 school, charter school, or educational organization preferred.
  • Knowledge of Florida Department of Education grants or school improvement processes preferred.

Responsibilities

  • Coordinate the day-to-day implementation of the school's grant and monitor progress toward approved goals and activities.
  • Maintain accurate and up-to-date grant budgets, expenditure logs, and financial tracking records.
  • Monitor grant expenditures, encumbrances, and remaining balances to ensure spending aligns with the approved grant budget.
  • Review and maintain documentation related to grant-funded purchases, invoices, receipts, contracts, stipends, and other expenditures.
  • Ensure grant-funded activities and expenditures are aligned with the approved grant plan and SIP.
  • Maintain organized, audit-ready electronic records of all required grant documentation.
  • Track grant deadlines, reporting requirements, budget milestones, and implementation activities.
  • Coordinate the collection and maintenance of documentation and evidence required for grant reporting and monitoring.
  • Assist with required grant reporting, including financial and programmatic information submitted through applicable Florida Department of Education systems.
  • Monitor compliance with applicable Florida Department of Education, federal, and organizational grant requirements.
  • Identify potential budget, documentation, or compliance concerns and communicate them to school leadership and appropriate finance personnel.
  • Coordinate with finance/business office personnel regarding purchasing, reimbursements, expenditures, and budget reconciliation.
  • Provide school leadership with regular updates regarding grant spending, implementation progress, upcoming deadlines, and compliance requirements.
  • Support preparation for grant monitoring, audits, and other compliance reviews.
  • Maintain confidentiality and ensure the accuracy and integrity of all grant-related records and information.

About The Team

The Virtual Preparatory Academy of Florida is a K–12 tuition‑free online public school serving students statewide. At VPA Florida, we provide a safe and nurturing environment where every student has the opportunity to be understood and inspired through a customized learning path that includes live interactive sessions and personalized teacher support.

The Program Coordinator is responsible for coordinating the implementation, financial tracking, documentation, and compliance of the school's grants. The position works closely with school leadership, finance personnel, and other stakeholders to ensure grant funds are appropriately managed and that grant activities are implemented in alignment with the approved grant plan, School Improvement Plan (SIP), and Florida Department of Education requirements.

Please note – while this is an online school position and all instruction occurs virtually, travel and face to face attendance will be required several times per year to support in person state testing and student events.
