Job Title: Virtual Business Development and Operations Administrator

Work Hours: 12:00 PM – 8:00 PM PST | 7 days/week

Position Overview:

We are seeking an experienced and results-driven Business Development and Operations Administrator to support and strengthen our daily operations and sales functions. This is a high-impact role requiring exceptional organizational skills, attention to detail, and a proactive approach to problem-solving. You will be responsible for ensuring operational efficiency, converting inbound leads, and contributing to the overall growth and excellence of our service delivery.

Key Responsibilities:

  • Manage daily scheduling, route coordination, and calendar updates for cleaning staff
  • Communicate professionally with clients via phone, email, and text regarding bookings, inquiries, or service updates
  • Handle and follow up on inbound sales leads, providing clear service explanations and converting prospects into clients
  • Support the onboarding of new clients and ensure their information is accurately recorded in the CRM
  • Monitor job completion updates, assist with real-time issue resolution, and ensure follow-ups for quality assurance
  • Track and promote online reviews and referral incentives
  • Coordinate with marketing and leadership to execute promotional campaigns or service upsells
  • Identify opportunities to improve operational efficiency and enhance the client experience

Qualifications:

  • 2+ years of experience in a virtual assistant, operations, or client support role (experience in service or cleaning industry preferred)
  • Strong English communication skills—verbal and written—with a professional and confident tone
  • Proven ability to manage schedules, prioritize tasks, and follow through without supervision
  • Proficiency with tools such as Google Workspace and CRMs including BookingKoala and Go High Level (both used daily)
  • Self-motivated, highly organized, and able to work effectively in a fast-paced remote environment
  • Strong sense of ownership, reliability, and problem-solving skills

Preferred Qualifications:

  • Prior experience working with U.S.-based clients or businesses
  • Familiarity with customer service best practices for the cleaning or home service industry
  • Track record of improving systems or contributing to sales growth
