Job Description
We are seeking a skilled and dependable
Virtual Assistant – Clerical Support to manage high-level administrative tasks with a focus on
booking executive meetings and scheduling business presentations. This is a
paid, professional position for an experienced individual who excels in making outreach calls, communicating with decision-makers, and maintaining a polished, organized workflow.
This role requires initiative, professionalism, and the ability to speak confidently with business leaders, C-suite executives, and key stakeholders. You must be tech-savvy, deadline-driven, and capable of handling sensitive information with discretion.
Key Responsibilities
- Schedule and confirm virtual and in-person meetings between executives and external partners, clients, or business prospects.
- Make direct phone calls to C-level executives and key decision-makers to coordinate meeting availability and secure appointments.
- Organize presentation logistics, including calendar invites, confirmations, and follow-ups.
- Prepare and distribute meeting agendas, supporting materials, and presentation slides.
- Maintain a digital filing system for scheduling records, email correspondence, and client communications.
- Communicate professionally via email and phone on behalf of executive leadership.
- Track meeting outcomes and ensure follow-up actions are completed on time.
- Coordinate across multiple time zones and manage changing priorities.
- Provide additional clerical support as requested, including data entry, contact list updates, and CRM record maintenance.
Required Qualifications
- 2+ years of experience as a virtual assistant, executive assistant, or in a similar administrative role.
- Proven experience speaking directly with business executives and scheduling meetings.
- Strong verbal communication skills and a professional phone presence.
- Proficiency in using tools such as Google Workspace, Microsoft Outlook, Zoom, and scheduling platforms (e.g., Calendly, HubSpot, or CRM systems).
- Highly organized with strong attention to detail.
- Discretion and confidentiality when handling sensitive information.
- Ability to work independently and manage time effectively in a virtual environment.
Preferred Qualifications
- Experience supporting sales executives or business development teams.
- Familiarity with corporate presentation tools like PowerPoint or Google Slides.
- Background in professional services, consulting, or B2B sectors is a plus.
Compensation
- Competitive hourly rate or monthly retainer (commensurate with experience).
