Job summary

Highlands Ranch Animal Hospital is seeking a friendly and motivated full-time veterinary receptionist in Carmel Valley. The ideal candidate has at least 2 years of professional veterinary experience, strong customer service, and comfort with a paperless system.

Wage will be based on experience, with opportunities to grow within a supportive team. We are a small animal practice with regular hours, focusing on compassionate client service and efficient front-desk operations.

Qualifications

  • Minimum of 2 years of professional veterinary experience required.
  • Paperless practice; Cornerstone ideal but not required.

Responsibilities

  • Greet clients in a friendly and professional manner.
  • Computer skills including Excel, Word, typing 30 wpm, email; input details accurately.
  • Answer client inquiries about basic animal care and routine procedures.
  • Educate clients on OTC products, nutraceuticals, heartworm and parasite preventatives to promote sales.
  • Check in and check out patients.
  • Record and attach medical records entries accurately.
  • Ensure records are up to date with patient and client information.
  • Prepare health and immunization certificates.
  • Discuss euthanasia services when appropriate.
  • Handle client/patient transfers and obtain records from other hospitals.
  • Process payments (online, credit card, cash, check).
  • Relate telephone, fax, and email messages promptly.
  • Enter/update client and patient information in practice software; attach pet photos to chart.
  • Convert phone shoppers into clients through effective communication.
  • Schedule/coordinate ultrasound appointments.
  • Keep exam rooms clean and orderly between appointments.
  • Call surgery reminders with pre-operative instructions and print estimates.
  • Remind new clients of next-day appointments.
  • Call clients who are 10 minutes late.
  • Perform end-of-day/month/year tasks as needed.
  • Maintain positive, cooperative relationships with staff.

Highlands Ranch Animal Hospital is a Veterinary practice, located in beautiful Carmel Valley. We are searching for a qualified candidate to fill a Full-time veterinary receptionist. This position requires an outgoing, enthusiastic, motivated, compassionate, and dependable person with a positive attitude and excellent customer service skills. We are a small animal exclusive practice that is growing fast. Come work in a healthy and happy work environment with room to grow, at every level. We are a paperless practice, therefore a working knowledge of Cornerstone is ideal, but not required. Wage based on experience. Our clinic hours are Monday - Friday 7:30 am to 6:00 pm. We are closed on the weekends and observed Holidays.

Job Duties
  • Greet clients in a friendly and professional manner.

  • Answer client inquiries about basic animal care questions and routine procedures
  • Educate clients on OTC products, nutraceuticals, heartworm and parasite preventatives to promote sales.
  • Checking in and checking out patients
  • Record and attach medical records entries accurately.
  • Ensures that records are up to date and accurate with patient and client information.
  • Prepare health certificates, immunization certificates.
  • Able to go over euthanasia services
  • Handle client/patient transfers and obtain records from other hospitals.
  • Accurately handle payment transactions (online, cc, cash/check)
  • Receives and relays telephone, fax and email messages accurately and promptly.
  • Enter and update client and patient information into practice computer software, including taking pictures of pets and attaching to chart.
  • Able to turn future clients (phone shoppers) into clients through effective and pleasant communication.
  • Schedules and communicates with ultrasound appointments.
  • Assist in keeping exam rooms clean and orderly in between appointments.
  • Calls surgery reminders with pre operative instruction for next day surgeries and print estimates.
  • Calls to remind new clients for next day appointments.
  • Calls clients who are 10 minutes late.
  • Accurately performs end of day, end of month (printed), and end of year (printed).
  • Maintains positive, cooperative and respectful relationships with other employees.
