Position Title: VA Contracts Specialist

POSITION SUMMARY

The Government Contracts Specialist - VA Programs is a sales-focused role responsible for developing, managing, and growing the Company's VA and government contract business within the mobility industry. This position builds relationships with VA procurement officers, contracting contacts, veterans, caregivers, and internal managers to position the Company as a trusted provider of stairlifts and mobility solutions. The role requires regular travel to VA facilities and government contacts to establish relationships, build trust, identify opportunities, and pursue business currently served by existing providers. In addition to business development, the Specialist supports the VA procurement and contract process by coordinating documentation, purchase orders, authorizations, internal follow-up, service delivery, billing support, and closeout.

ESSENTIAL FUNCTIONS

VA and Government Contract Sales Responsibilities

  • Develop, grow, and support the Company's VA and government contract business within assigned territories or markets.
  • Serve as a knowledgeable sales resource on VA procurement, government contract processes, purchase order workflows, authorizations, documentation requirements, and competitive provider dynamics.
  • Identify VA and government sales opportunities for stairlifts, mobility products, accessibility services, installation, and service work.
  • Review VA requests, purchase orders, approvals, statements of work, service requirements, pricing information, customer documentation, contract terms, and supporting records for accuracy, completeness, scope, and required next steps.
  • Support the full sales and contract lifecycle for VA-related mobility products and services, including lead development, inquiry follow-up, quote or proposal support, authorizations, purchase order follow-up, documentation, installation coordination, billing support, and closeout.
  • Use consistent follow-up and attention to detail to reduce delays, improve accuracy, protect contract compliance, and support timely service to veterans and other government customers.

Relationship Management Responsibilities

  • Regularly travel to VA facilities, procurement offices, prosthetics departments, and other government locations to develop relationships, build trust, understand local needs, and strengthen the Company's presence in the market.
  • Build and maintain strong relationships with VA procurement officers, prosthetics representatives, contracting contacts, government decision-makers, veterans, caregivers, business partners, and internal managers.
  • Promote the Company's mobility solutions by communicating product quality, installation capability, service responsiveness, customer support, and overall value proposition.
  • Provide clear and timely status updates to VA contacts, veterans, caregivers, managers, and internal teams, and elevate concerns when timelines, service expectations, contract obligations, or customer needs may be at risk.
  • Represent the Company professionally and ethically when communicating with veterans, caregivers, VA contacts, government representatives, and business partners.

Sales Coordination, Tracking, and Process Support Responsibilities

  • Partner with sales leadership, business unit managers, operations, warehouse, scheduling, installation, service, billing, and finance to ensure VA and government contract opportunities are pursued, tracked, fulfilled, and supported in accordance with Company standards.
  • Track VA sales opportunities, relationship activity, outstanding authorizations, procurement items, purchase orders, contract requirements, service requests, installation status, pending documentation, contract-related deadlines, and billing-related follow-up.
  • Maintain accurate records in Company systems, including VA contact information, sales activity, meeting notes, customer notes, procurement updates, contract details, purchase order information, installation status, service history, and follow-up activity.
  • Assist with resolving issues related to incomplete authorizations, unclear scope, incorrect pricing, scheduling delays, installation coordination, billing questions, service concerns, customer concerns, or communication gaps that could impact sales, service delivery, or customer satisfaction.
  • Support coordination between field surveyors, installers, service technicians, warehouse, and internal departments to ensure work is completed according to authorization, Company standards and contract requirements.
  • Assist with sales pipeline review, contract reporting, audit support, management updates, process tracking, and identification of recurring issues, process gaps, workflow delays, competitive risks, or compliance concerns.
  • Protect confidential veteran, caregiver, customer, contract, financial, sales, and Company information.
  • Perform other related duties as assigned.

SKILLS AND ABILITIES

  • Working knowledge of government contract processes, VA procurement procedures, authorizations, purchase orders, and documentation requirements.
  • Strong sales, relationship-building, and account development skills, including the ability to establish trust with VA procurement officers, prosthetics departments, and government contacts.
  • Excellent verbal and written communication skills, including the ability to conduct professional presentations, meetings, and follow-up communications. Strong organizational skills and attention to detail.
  • Ability to track multiple sales opportunities, contracts, authorizations, purchase orders, installations, service requests, approvals, and deadlines at the same time.
  • Ability to identify missing information, documentation issues, process gaps, contract risks, competitive risks, or compliance concerns.
  • Professional judgment when handling sensitive veteran, caregiver, customer, contract, financial, sales, or business information.
  • Customer-focused mindset with a commitment to serving veterans and individuals with mobility needs.
  • Ability to work independently while collaborating with internal departments and field-based teams.
  • Proficiency with Microsoft Office, including Outlook, Word, Excel, and Teams.
  • Ability to learn and use Company systems, CRM platforms, procurement portals, billing systems, and document management tools.
  • Works with integrity and ethically; supports the organization's culture, goals, and values.

EDUCATION/EXPERIENCE

  • Relevant management or leadership experience preferred, particularly in sales, government contracts, account management, healthcare, mobility products, or field service operations.
  • A minimum of three to five years of experience in government or Veterans Affairs contracts, VA contract coordination, procurement, contract administration, business development, outside sales, account management, sales operations, healthcare administration, durable medical equipment, mobility products, home accessibility, or field service operations is strongly preferred.
  • Prior experience developing relationships with government contacts, procurement officers, referral sources, healthcare providers, or institutional customers is strongly preferred.
  • High school diploma or equivalent is required. An associate or bachelor’s degree in business administration, public administration, contract management, healthcare administration, operations, supply chain, or a related field is preferred.

PHYSICAL REQUIREMENTS

Must occasionally lift and/or move up to 10 pounds. The employee is regularly required to sit, talk, listen, use a computer, and communicate by phone, email, and virtual meeting platforms. The employee is occasionally required to stand, walk, travel, and attend in-person meetings or site visits. WORK ENVIRONMENT

The noise level in the work environment is usually moderate. This position may involve office, remote, travel, and customer-facing environments.
