Job summary

Birge & Held is seeking a Utility Coordinator in Indianapolis to optimize utility services across its multifamily portfolio. You will serve as the subject matter expert for utility setup, migrations, vendor management, submeter health, and revenue initiatives within the Revenue Management team.

The role partners with Operations, Construction, IT, and Accounting to ensure seamless transitions during acquisitions and dispositions while maximizing cost recovery and ancillary income opportunities.

Qualifications

  • 1–5 years of experience in multifamily utility management.
  • Experience with RUBS or submetering programs.
  • Familiarity with utility management platforms (RealPage, UEM, RUM).
  • Strong analytical, communication, and problem-solving skills.

Responsibilities

  • Manage utility services across Birge & Held portfolio.
  • Oversee water, sewer, gas, trash, electric and related utilities.
  • Monitor recovery levels and cost efficiency.
  • Lead onboarding for acquisitions and dispositions (utility setup).

POSITION OVERVIEW

The Utility Coordinatoris responsible for optimizing all utility and ancillary income services across the Birge & Held portfolio. This role serves as the centralized subject matter expert for utility setup, migrations, vendor management, submeter health, and revenue optimization initiatives as part of the larger Revenue Management team.

The Utility Coordinator partners cross-functionally with Operations, Construction, IT, Accounting, Asset Management and external vendors to ensure seamless transitions during acquisitions and dispositions while maximizing cost recovery and ancillary income opportunities.

KEY RESPONSIBILITIES
Utility Portfolio Management
  • Manage all aspects of utility services across the Birge & Held portfolio, including managed and flat-rate utility programs.
  • Oversee water, sewer, gas, trash, stormwater, common area electric, and electricity services.
  • Monitor utility performance and recovery levels to ensure optimization and cost efficiency.
  • Evaluate and recommend cost-saving opportunities related to utility services and vendor contracts.
  • Meet or exceed the utility recovery rate target at each community in the portfolio. (e.g. 92%+)
Acquisitions & Dispositions
  • Lead all utility-related onboarding activities for new acquisitions, including:
  • Collection and review of due diligence documentation
  • Determination of utility billing structure and recovery methodology
  • Implementation and rollout of utility services
  • Lead all utility transitions for property dispositions, including cancellation and/or transfer of services.
  • Collaborate with Construction to ensure seamless transition of permanent utilities from construction phase to operational management.
Submeter & Recovery Oversight
  • Monitor properties utilizing submetered utilities to maintain 98-100% meter health.
  • Coordinate subcontractors for service and repair of submeters as needed.
  • Oversee prebill review processes to ensure accuracy and compliance.
  • Manage all utility-related vendor relationships and master service agreements.
  • Negotiate, evaluate, and recommend vendor partnerships that drive operational efficiency and financial performance.
  • Monitor vendor performance and service delivery standards.
Income & Revenue Optimization
  • Evaluate existing and emerging ancillary income programs to drive additional revenue.
  • Regularly review fee structures (expense and income) to ensure portfolio-wide revenue optimization.
  • Partner with Operations leadership to implement income-enhancing initiatives across sites.
Systems, Training & Cross-Functional Support
  • Provide training and ongoing support to team members regarding utility management software and related processes.
  • Assist IT and Technology with telephony-related property items including call trees, voicemail systems, and IVR setups.
  • Serve as a subject matter expert and resource for site teams and leadership on utility and income-related matters.
EDUCATION, EXPERIENCE, AND SKILLS
  • 1-5 years of experience in multifamily utility management or related field.
  • Experience with RealPage, UEM, RUM, or similar utility management platforms.
  • Experience with Ratio Utility Billing (RUBS) or submetering programs.
  • Strong analytical and problem-solving skills.
  • Experience managing vendor contracts or master service agreements preferred.
  • Strong verbal and written communication skills.
  • Ability to manage multiple projects and deadlines across a portfolio.
