Job summary

Mass General Brigham's Newton-Wellesley Hospital is looking for a part-time Administrative Support Clerk for the 16-hour evening weekend shift (3 pm–11:30 pm on Saturdays and Sundays). You will support clinicians and staff, coordinate patient flow, and manage confidential information.

You will coordinate admissions, discharges, and transfers, enter data into the EMR, schedule tests, and liaise with other departments. Prior clerical experience and MS Office proficiency are required.

Qualifications

  • High School Diploma or equivalent required; Associate's Degree preferred.
  • Certified Health Unit Coordinator not required but NAHUC credentials preferred.
  • Administrative support experience 1-2 years required.
  • Proficiency in MS Office and standard office equipment.
  • Strong proofreading, written and verbal communication skills.

  • Perform clerical duties to support general unit administration.
  • Greet patients, families, visitors, and coworkers professionally.
  • Receive, organize, and manage information at the central nursing station.
  • Schedule consultations, tests, procedures, and patient transport.
  • Enter accurate data into the EMR for admissions, discharges, transfers.
  • Coordinate with ancillary services to obtain equipment, services and supplies.
  • Assist manager with payroll duties, staff scheduling, or supervision when needed.

Job Summary

16hr Evening Weekend Only 3p-11:30p (every Saturday and Sunday).

Provides administrative support to unit-based and hospital-wide clinicians and staff, serving as the liaison between patients, visitors, and clinicians. Expected to effectively organize priorities, complete tasks on time, and manage confidential patient information. Responsible for partnering with nursing to coordinate the day-to-day patient flow, including communication to key players regarding patient admissions, discharges, and transfers. Also expected to provide outstanding services for every customer interaction. Actual job duties may vary by department. Does this position require Patient Care? No

Essential Functions
  • Performs clerical and other duties to assist in the general administration of the floor or unit.
  • Greets and interacts with patients, families, visitors, and coworkers in person and via communication tools in a professional manner.
  • Receives, prioritizes, organizes, and manages information at the central nursing station and throughout the unit.
  • Schedules consultations, tests, procedures, and patient transport to other departments.
  • Enter accurate, timely information into the electronic medical record for admissions, discharges, and transfers to facilitate efficient patient throughput.
  • Contacts ancillary service departments to obtain equipment, services, and supplies; tracks status and location; uses the designated process to identify and facilitate repairs.
  • May assist the manager with payroll duties, staff scheduling, or supervision of unit secretaries.

Qualifications
Education

High School Diploma or Equivalent required or Associate's Degree Related Field of Study preferred

Certified Health Unit Coordinator - National Association of Health Unit Coordinators (NAHUC) preferred

Experience

Administrative support experience 1-2 years required
