Job summary

Mass General Brigham in Newton-Wellesley Hospital seeks an Administrative Support professional to assist clinicians and staff with day-to-day operations.

You will coordinate patient flow, schedule tests, and enter data into the electronic medical record, while maintaining confidentiality and providing excellent service to patients and families. Onsite, 40 hours weekly, with a collaborative team environment.

Qualifications

  • High School Diploma or equivalent required; associate's degree preferred.
  • 1–2 years of administrative support experience required; healthcare setting preferred.
  • Proficiency in MS Office; strong written and verbal communication.
  • Ability to proofread and edit documents; proficiency with the phone system.

  • Perform clerical duties to support unit-based and hospital-wide administration.

Job Summary

Provides administrative support to unit-based and hospital-wide clinicians and staff, serving as the liaison between patients, visitors, and clinicians. Expected to effectively organize priorities, complete tasks on time, and manage confidential patient information. Responsible for partnering with nursing to coordinate the day-to-day patient flow, including communication to key players regarding patient admissions, discharges, and transfers. Also expected to provide outstanding services for every customer interaction. Actual job duties may vary by department.

Essential Functions
  • Performs clerical and other duties to assist in the general administration of the floor or unit.
  • Greets and interacts with patients, families, visitors, and coworkers in person and via communication tools in a professional manner.
  • Receives, prioritizes, organizes, and manages information at the central nursing station and throughout the unit.
  • Schedules consultations, tests, procedures, and patient transport to other departments.
  • Enter accurate, timely information into the electronic medical record for admissions, discharges, and transfers to facilitate efficient patient throughput.
  • Contacts ancillary service departments to obtain equipment, services, and supplies; tracks status and location; uses the designated process to identify and facilitate repairs.
  • May assist the manager with payroll duties, staff scheduling, or supervision of unit secretaries. Duties may vary by department.
Qualifications
Education

High School Diploma or Equivalent required or Associate's Degree Related Field of Study preferred

Licenses and Credentials

Certified Health Unit Coordinator - National Association of Health Unit Coordinators (NAHUC) preferred

Experience

Administrative support experience 1-2 years required

  • Proficiency in MS Office.
  • Ability to proofread and edit written documents.
