Transportation Supervisor - Vehicle – JOB DESCRIPTION
RESPONSIBLE TO:

Transportation Manager and /or Assistant Director of Facilities and Transportation.

FUNCTION:

To directly supervise and direct garage and detailing team in efficient, timely, and safe repair and maintenance and cleanliness of agency vehicles. Cross functional leader with the transportation supervisor in knowing regulations pertaining to New York State Department of Transportation (NYSDOT), Department of Motor Vehicles (DMV), 19 A, and any internal software systems to assist in compliance in these programs.

As needed to assist the Transportation Leadership Team in the effective operation of TRC Central Transportation Services. In conjunction with and/or in the absence of the Transportation Supervisor and/or Manager, assists in supervision to transportation staff (drivers & bus aids) and ensures the implementation of friendly, personable and timely transport services.

REQUIRED KNOWLEDGE, SKILLS AND ABILITIES:

Thorough knowledge of vehicle maintenance processes and protocols, including NYS 19A regulations. Knowledge of or ability to learn New York State Department of Motor Vehicle and Traffic Laws and Regulations, as well as, Federal and New York State Department of Transportation Regulations for drivers and vehicles. Reliability, flexibility, willingness and ability to provide coverage for assigned drivers as needed or assigned. Ability to supervise staff . Excellent organizational skills, including the ability to schedule multiple vehicle repairs and maintenance in an efficient and fiscally responsible manner. Knowledge of Word, Excel spreadsheets, and ability to implement new software departmental. Physical condition or reasonable accommodation(s) commensurate with the demands of the job.

MINIMUM QUALIFICATIONS:

Associate’s Degree or 60 credit hours of college course work, preferably in a technical or trades background , customer service or vehicle -related field; OR High school diploma or GED plus four (4) years of related work experience with favorable work history; OR an equivalent combination of education and experience sufficient to indicate ability to do the job. Minimum of one (1) year of which was in a management/supervisory/administrative capacity; Experience working with individuals with disabilities strongly preferred; Participation in agency Leadership Career Path may be substituted for one (1) year of management/ supervisory experience.

Transportation Supervisor – Vehicle – Appendix
RESPONSIBLE TO:

Transportation Manager and /or Assistant Director of Facilities and Transportation.

SUPERVISORY:
  • Provides administrative supervision of assigned transportation staff , including but, not limited to :
  • Discipline, performance evaluation, in -service education, training, development and support, timesheet audits, and ensuring that there are an adequate number of staff to fulfill assigned responsibilities, particularly with regard to vehicle maintenance.
  • Ensuring that all assigned staff are knowledgeable of, properly trained in, and compliant with all assigned duties and quality standards, as well as, Occupational Safety & Health Administration (OSHA) regulations, Safety Data Sheets (SDS) Sheets, Shop Safety and/or agency-wide policies and procedures.
  • Ensures sufficient staffing for the department, including development and maintenance of trained vehicle technicians.
  • Coordinates staff orientation with the Training Department and ensures new hires and regular staff receive ongoing trainings.
  • Oversees all aspects of the workforce including timely completion of new hire paperwork, disciplinary actions and other personnel related matters.
  • Provides coaching, guidance and training to individual vehicle service staff concerning personal and professional growth .

In conjunction with and/or in the absence of the Transportation Manager and/or Transportation Supervisor, will be trained to provide administrative supervision of assigned transportation staff

ADMINISTRATIVE:
  • Ensures the safe and efficient operation of agency vehicles by addressing day-to-day problems which arise including but not limited to: timely repair, managing parts and ordering, staffing, emergency – all emergency equipment and contacts are available in all vehicles.
  • In conjunction with the Transportation Management Team, assumes responsibility for budgetary expenditures and revenue projections. Ensures the security and proper processing of all funds, property and supplies located at the facility.
  • Ensures that all duties carried out are consistent with and in compliance with regulatory requirements and TRC policy and procedure.
  • Participates in the training of new staff, as needed or assigned.
  • Participates in the completion and/or coordination of a variety of tasks that contribute to the effective operation of vehicle services, including but not limited to: scheduling, record keeping, staffing, purchasing/ordering, related accounting, budgeting, excellent customer service, soliciting customer feedback and adjusting practices to meet customer demands.
  • As needed or assigned by the Transportation Management Team, participates in conducting internal audits and reviews of service quality and customer satisfaction.
  • Participates in trainings as assigned by Administration.
TECHNICAL:
  • Ensures the safe and efficient operation of the mechanical and detail shop by addressing day-to-day problems which arise including but not limited to: shop supplies, physical plant problems, staff and/or individual interaction problems. In an emergency - ensures that all emergency procedures are followed.
  • Provides oversight to the mechanics, regarding minor repairs and maintenance of TRC’s fleet of vehicles to ensure safe, operating condition and based on financial benefit of providing service in-house.
  • Ensures that vehicle inspections are conducted in a timely manner and consistent with the New York State Department of Motor Vehicles Inspection Regulations .
  • Establishes schedule for preventive maintenance and performs preventive maintenance on Agency fleet of vehicles, as needed.
  • Ensures documentation is completed for work performed, per established departmental guidelines.
  • Prepares requisitions for ordering of parts and supplies as needed and maintains a small inventory, to ensure safe and efficient operation of agency fleet of vehicles.
  • Responsible for keeping The Resource Center’s vehicles neat, clean and organized so as to minimize accident potential, present a good image, and maximize output through efficient operation.
  • Serves as a dispatcher for all breakdowns, coordinating the Loaner Pool within the agency fleet, as needed.
  • Established systems for agency fleet and its users assigning fuel purchasing PINS and maintaining United Refinery database. Issues handicapped tags for the vehicles.
  • Assist in scheduling all DOT Inspections with TEAM Services Supervision Team and the NYS DOT Inspector .
  • Assist Detail Supervisor with scheduling and shuttling of TRC vehicles.
  • Reviews reports and send notification to supervisors on staff with high speeding reports in GPS system and follows up with supervision teams for execution and/or HR
