Responsibilities
Scheduling & Practice Flow
  • Manage and optimize the oral surgeon's daily and weekly schedule to ensure the calendar is fully booked and gaps are proactively filled
  • Coordinate surgical block time, consult appointments, and follow-up visits to maximize chair time and surgeon productivity
  • Maintain a recall and waitlist system to backfill cancellations and no-shows on short notice
Insurance & Benefits Verification
  • Verify medical and dental insurance eligibility in advance of every appointment, confirming active coverage and plan details
  • Determine and clearly document specific benefits, exclusions, frequency limitations, and prior authorization requirements for each procedure
  • Obtain pre-authorizations and predeterminations for surgical procedures, and follow up on pending claims
  • Communicate insurance findings to patients in clear, understandable terms prior to treatment
Financial Arrangements & Deposits
  • Present treatment costs and finalize firm financial arrangements with patients prior to the date of service
  • Collect deposits for high-dollar or complex surgical cases in accordance with practice financial policy
  • Set up and monitor third-party financing (e.g., CareCredit, Sunbit) and in-house payment plans as needed
  • Reconcile patient balances, deposits, and insurance estimates to prevent billing discrepancies
Patient Confirmation & Case Readiness
  • Confirm all appointments with patients in advance, including pre-operative instructions, fasting guidelines, and escort/transportation requirements
  • Obtain and track required medical clearances from primary care physicians or specialists prior to surgery, following up on outstanding paperwork
  • Review patient health history, medications, and anesthesia consent forms for completeness before the date of surgery
  • Serve as the primary point of contact for patients with questions about scheduling, cost, or preparation
Additional Responsibilities
  • Maintain accurate patient records and documentation in the practice management and imaging systems, ensuring HIPAA compliance at all times
  • Coordinate referrals and case communication with referring general dentists and specialists, including sending post-operative reports
  • Monitor and follow up on outstanding insurance claims, denials, and appeals to support timely reimbursement
  • Track key scheduling and financial metrics (production, case acceptance, deposit collection) and report trends to the surgeon and office manager
  • Support front-office operations as needed, including phones, check-in/check-out, and coverage during staff absences
  • Assist with continuous improvement of scheduling templates, financial policies, and patient-communication scripts
Skills & Qualifications
  • High school diploma or equivalent required; associate degree or dental/administrative certification preferred
  • 2+ years of experience in a dental or oral surgery office, with direct experience in scheduling, insurance verification, and financial coordination
  • Working knowledge of dental and medical insurance, CDT/CPT coding, and pre-authorization processes
  • Proficiency with dental practice management software and Microsoft Office
  • Exceptional communication, organization, and follow-through skills, with the ability to manage multiple priorities in a fast-paced environment
  • A patient-first, detail-oriented approach with strong comfort discussing financial matters and collecting payment
