Job summary

Ivy Tech Community College is seeking a Travel & Purchasing Operations Coordinator to manage all aspects of travel bookings, spend authorizations, and expense processing across Indiana campuses. You will back up purchasing compliance and support supplier setup, ensuring policy adherence and proper documentation.

The role requires an associate degree (bachelor’s preferred), 3 years of educational accounting experience, and strong Microsoft Office skills.

Qualifications

  • Associates degree required; Bachelor’s degree preferred.
  • 3 years previous accounting experience in an educational setting preferred.
  • Ability and willingness to travel between service area campuses.
  • Above average computer skills; Knowledge of Microsoft Office required.
  • Experience with Workday preferred.
  • Possess analytical, decision making, problem solving and research skills.
  • Ability to develop, interpret, enforce and communicate internal controls and policies.
  • Strong written and verbal communication and interpersonal skills.
  • Strong organizational skills and detail oriented.

Responsibilities

  • Review and approve or return Workday Spend Authorizations and Expense Reports for compliance with college policies.
  • Research and book airfare for travelers using purchasing card.
  • Process lodging payments using purchasing card.
  • Verify procurement card transactions.
  • Train employees on submitting travel spend authorizations and expense reports.
  • Prepare accounting adjustments as requested.
  • Assign employees for gas card driver IDs and maintain driver listings.
  • Process new supplier requests in PaymentWorks and follow up when needed.
  • Serve as primary back up for purchasing and contract compliance.

Job description

This position is responsible for all aspects of travel including booking airfare and processing travel purchasing card transactions, charging departments for internal services, and is the primary back up for purchasing compliance. This position reports to the Director of Finance Operations.Reviews and approves or returns Workday Spend Authorizations and Expense Reports for compliance with the College and campus policies and procedures ensuring that appropriate documentation is included.Researches and books airfare for travelers using purchasing card.Processes lodging payments using purchasing card.Verifies procurement card transactions.Trains employees on submitting travel spend authorizations and expense reports.Prepare accounting adjustments as requested.Responsible for assigning employees for gas card driver identification numbers and maintaining approved driver listings.Processes new supplier requests in PaymentWorks and follows-up when needed.This position is the primary back up for purchasing and contract compliance.The above list of duties is not to be construed as an exhaustive list.
